The Manager, Financial Development Systems will manage and provide strategic oversight for the data and business processes that underpin the rollup of fundraising and grantmaking data. This position will ensure that strategic advancement services including tracking and reporting on partnerships and donations, managing donor and grant databases, providing accurate information on donor pipelines, donation deliverables, and timelines, and giving high-levels of customer service to both internal and external stakeholders are deployed effectively across the donor portfolio.

The Manager, Financial Development Systems will manage and provide strategic oversight for the data and business processes that underpin the rollup of fundraising and grantmaking data. This position will ensure that strategic advancement services including tracking and reporting on partnerships and donations, managing donor and grant databases, providing accurate information on donor pipelines, donation deliverables, and timelines, and giving high-levels of customer service to both internal and external stakeholders are deployed effectively across the donor portfolio.
KNOWLEDGE, SKILLS AND ABILITIES
- Bachelor’s degree is required.
- Minimum 5 years of non-profit experience is required; supervisory experience of one year preferred.
- Extensive knowledge of donor database and fundraising systems is required (Raiser’s Edge and/or Luminate Online experience is strongly preferred).
- Experience with an online grant making system, such as SmartSimple, is preferred
- Ability to use HTML code to create customer-facing experiences preferred. Prior experience programming online grant making systems highly preferred.
- Demonstrated knowledge of philanthropic and donor-centric best practices required.
- Must be highly organized with strong attention to detail and be able to work in a fast-paced environment.
- Demonstrated ability to prioritize, track, and manage multiple projects simultaneously, while maintaining high quality and efficiency/timeliness, is required.
- Demonstrated ability to work with staff at all levels; ability to work both independently and within a team environment.
- Demonstrated ability in high-level problem solving, critical/strategic thinking skills as exhibited through work completed.
- Superior organization skills and diligent attention to detail is required
- Demonstrated experience in creating and maintaining dashboards and business insight reports that support data-based decision making
- Must possess excellent verbal and written communication skills with and advanced level of proficiency in Microsoft Outlook, Excel, Word and PowerPoint.

General Operations
- Optimizes the use of YMCA of the USA’s Financial Development systems by staying current on upcoming enhancements to functionality, guiding staff in the appropriate use of the existing functionality, and recommending and managing testing.
- Facilitate projects, which involves tracking responsibilities, setting and tracking timelines and deliverables, and following-up to ensure completion.
- Communicate effectively with corporate partners, local YMCAs, Financial Development, IT, Finance, Legal and other organizational stakeholders on procedural, technical, legal, and programmatic elements of the grant process
- Other duties as assigned.
- Maintain, utilize, and enhance the donor database system (currently Raiser’s Edge), including but not limited to the management of constituent data entry and maintenance, data integrity, gift entry, and the production of charitable gift receipts. Manages the development and design and day-to-day usage of organization-wide and movement-wide CRM tools and resources.
- Manages contributed revenue reconciliation with Finance.
- Manages the development of tools within database functions to support the moves management of donors and reporting efforts of Y-USA's fundraising team. In consultation with departmental leadership, manages donor pipelines with effective data systems for identification, cultivation, and solicitation; manage summary and analytical reports to monitor fundraising activity – advising and supporting on the creation and use of reports; manage the development and design of standard and custom reports.
- Manages the creation and standardization/documentation of CRM usage policies and procedures to ensure data integrity, ease of use, and accuracy of extracted data. Identifies and designs solutions to data integrity issues, including adopting and implementing best-in-class data maintenance and enhancement processes.
- Manages the production of documents, including CRM reports and data-visualized presentations, to report on grantmaking activity and contributed revenue to organizational leadership. Manages list production to support donor and prospective donor communication, including the design and deployment of efficient data validation tactics for list accuracy.
- Manages online giving systems and interfaces and the backend of peer-to-peer fundraising campaigns.
- Optimize organizational responsiveness to unplanned and specialized campaigns such as disaster relief response and memorial campaigns.
- Administer and keep current all fundraising and gift acceptance policy documents including NXT user’s manual and RE operations policy and procedures.
- Support the coordinated and strategic deployment of resources to advance the donor portfolio.
- Manage, utilize, configure, and program an online grantmaking system (currently SmartSimple) to supporting $30M+ in annual grantmaking activity
- Participate in project walkthroughs, RFA requirement gathering, design walkthroughs, and implementation sessions
- Create system build timelines and monitored activities to ensure timely execution of system programs that match anticipated outcomes
- Seek approval for system changes/modification prior to commencing any configuration work
- Troubleshoot and resolve technical problems that arise in the online grantmaking system; Communicate and coordinate with the vendor to resolve issues
- Perform quality assurance testing for all system builds
- Lead upgrades/technology changes and communicate to applicable parties
- Track and ensure completion of grantee reports and share outcomes
- Responsible for the accurate and timely processing of all sub-grant payments, amendments, and terminations as required
- Ensure customer satisfaction among the local YMCAs by reviewing and responding to requests timely to provide improvements to grants management system
