NXT Event Registration Fees created as Cash Gifts

Using NXT Event registration forms and when fees are sent to NXT gift management in a batch for processing to database the fee gift type is populated with Cash gift type. the fee is not a gift so I want the gift type to be “Other” but you can't change the gift type. I have to approve the batches because I see it changes the balance in the participate record in event to a balance of zero. Has anyone came up with a process to enter fee gift type with something other than cash. I was thinking of creating an import and data file so I can load the fees as gift type Other then deleting the original transactions in database but ran into a snap when trying to do a global delete because the free gits are tied to the event. Plus not sure if I delete them if anything down the line in the event will get messed up.

  • @Beth UnruhArnold I had a client who previously did this in OLX because you can link the payments to the Event and you can change the Gift Type in the DB view Batch. However, I can appreciate that that may not work for other reasons.

    Otherwise, I think you have to do either an adjustment to $0 on the web gifts or delete them and then re-enter them as “Other” gifts to get the end result that you want.

    I can “kind of” understand why you think (and your org coded) registration fee as not “Cash” gift, but (1) we don't do it this way (2) this is Blackbaud way to record gift that's unlikely to change.

    For us, any registration comes with “deductible” donation portion and “non-deductible” goods and services portion. So a $1000 ticket, the goods and services could be $300 (benefits coding) and $700 is donation. To us, this is a “Cash” gift given to the organization.

    But given what your org does, can't you just go into the web gift batch and edit the gift from One-time gift to Other before you approve the batch? it's a lot less time consuming than having to delete (or $0 out) the original gift and re-enter them.

    I was on RE NXT webview gift batch for my JustGiving batch and it allow me to change it (not grayed out as seen in my screenshot earlier). I'm not sure if you are in your situation b/c it is RE NXT event registration related and that's a limitation or not, you will have to ask support

  • @Beth UnruhArnold We have the same issue - we ran registrations for an alumni event using NXT. We do not want the hundreds of event fees paid (no donation component - 100% benefit) to be recorded on records as gifts.
    Several reasons - gift analysis totally messed up, donor tag of lapsed tag changes, last gift data incorrect, lifetime giving inaccurate, etc. (Other gift type is already used legitimate gifts.)

    Talked with support and didn't get much help. They suggested coding the gifts in some way and then using that code to exclude from any of the reports we ran. Not a satisfactory answer for us. So, we moved all the gifts into one NXT batch and it still sits as unapproved.

    There needs to be an option exclude event payments from gifts.

    We mark registration fees from NXT Event forms as One-time gifts since we consider them as charitable gifts paid outright as cash or by check, payment card, or direct debit.

    The Gift Type cannot be edited within the NXT Batch, but a Gift Subtype could be added. Would marking registration fees with a Gift Subtype of something like “Registration Fees” or “Event Fees” meet your organization's needs?

    Thanks JoAnn they at least need to give us an option to pick our own gift type. for past fees we used gift type other and a special gift subtype. came up with a process all thought time consuming. Once gifts approved in batch running a query to collect all the gift data for the gift frees. I created an import in RE to reload the gifts as gift type “Other”. Ran the import to reload fees then did a global delete of the cash gifts for fees, just have to remember in the delete options to move the “linked to and event” option to the right side. Not pretty but will have to work for now.

    must be the registration process is different then the gift process. Mine are all greyed out when I select to edit the details.
