Event donations

Options

Curious to know it anyone has used the event module in webview for collecting donations.

We are doing a Color Run for our school this year and if parents want to make a donation or sponsor a child, would they be able to do that if we set up the event through webview? If so, how does that work with processing of the donation to their record?

Last year we did a Color Run for the first time and the accounting and keeping track of the donors, was a hot mess. They gave through our website under our giving page but there were duplicate constituents, new donors, students, etc. I am not the event person at our school. I am the database specialist and I process all donations so I am unfamiliar with the event module as we have never used it before.

Any suggestions would be most helpful!

Aloha!

  • @Jolynn Uyehara You can most certainly add donations to a form! They would have to “register” for the Color Run and then have a choice to make an additional donation in any amount they choose. The Registration would be a $0.00 Fee and $0.00 Contribution amount.

No options for giving levels are natively there, but you could certainly get creative and have different “registration”/(fees in RE NXT) set up that have the same Contribution Amount as the Fee Amount.

On the batching side of NXT, these will all come in as Event Registration transactions separate from your other donations.

@Jolynn Uyehara - You could do this through an event form, but I am not sure it will be as clean as you are hoping for as the form is set up to ‘register’ constituents rather than support Peer-to-Peer fundraising. I recommend you build this and test it out paying attention to user experience.

Alternatively, you could look at JustGiving as a possibility to allow participants to create a fundraising page as apart of the event that they could then solicit friends/family support with donations coming through their fundraising page - JG will tabulate totals for you, and when the system is integrated with RE NXT the gifts come in the database directly.

@Jolynn Uyehara we have used NXT event forms for a few events at our school. As Austen mentioned, it is not necessarily super clean. I have just had to adjust the fund and appeals for some gifts based on what I know the donor is attempting to "purchase." As @Lee Grisham mentioned, when someone completes the event form it registers them so you would have to play with that aspect if the donor does not have to actually register for a spot.

NXT forms do bring with them increased issues of duplicates, as you do not review them prior to approving like you do for Online Express. I ended up creating a query to pull new constituents to review and then remove once I have verified all the event information is linked to the correct record.
