Sharing my Power Automate Flows: Presidential Acknowledgement Process

Summary
There are three flows as part of this process that was created to streamline the creation, sending, and recording of Presidential Acknowledgements beginning with an add-in button. We use the same process for Condolence notes from the President as well.

Notes

Flow 1 - You will basically be following the instructions here, but I have placed the add-in on the Constituent page as it will pull information about the constituent we want to thank, even if they give via DAF or family foundation. This flow will create the letter with some additional information that can be reviewed, adds information to a SharePoint list including a link to the document, emails the person selecting the add-in button with a link to the list, and creates an action with a link to the document. When the review and personalizing of the document is complete, the reviewer will change the value in the “Review Complete” column to Yes and that leads to the next flow.

Flow 2 - This flow looks at the SharePoint list to see if the “Review Complete” column is equal to “Yes”. If so, it will add a row into a shared Google Sheet, email the President's Office to let them know an acknowledgement is ready, and delete the item from the SharePoint list. Once the letter has been mailed or emailed, the staff in the President's Office will select the method of sending (action category) and change the Sent column to Yes which leads to the final flow.

Flow 3 - Since there is no trigger for a cell changing in Google Sheets, every 3 hours this flow will run to see any rows where the Sent column is equal to Yes. The action system record id is on the Google sheet, so the action is closed and updated with the send method and the row is deleted from the sheet.

@Karen Jones Just Google Sheets and Docs. They do have access to RENXT, but were not entering their actions so we tried to make it easier for them so they can manage all of the requests from our office in a single Google Sheet with links.
