SUMMARY:

The Membership Coordinator is a full-time benefited position working in the Development Department of Mission San Juan Capistrano. This is an at-will position working onsite and reporting to the Executive Assistant. The Membership Coordinator is primarily responsible for managing the membership process including the Raiser’s Edge database as well as providing support to the Events Director for Mission held events. As a full-time employee, you are expected to work or support nearly all Mission held events.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

With Raiser’s Edge, expected tasks and skill sets include:

  • The timely, consistent, and accurate input of information into the Raiser’s Edge database following standard procedures.
  • Answer and place phone calls and emails in a courteous, prompt manner, providing accurate information regarding membership, upcoming events or other information.
  • Assist in the maintenance and integrity of constituent records by updating addresses, creating record notes or media, or other entries as needed to improve the overall utilization of the records across departments.
  • Assist with membership entry by creating or updating records with name, contact information, appropriate addressee format, gift, and member information along with the coordination and mailing of membership packets.
  • Assist with acknowledgement of sponsorships, donations, and gifts-in-kind in a timely and professional manner following established protocol by creating or updating records with name, address and contact information, addressee fields, gift coding, and appropriate gift letter template for printing, signature and mailing of acknowledgement letters.
  • Able to coordinate and support the preparation and management of development related correspondence (such as membership renewal letters) or mailings (including the quarterly newsletter and annual report) by creating or revising letter templates within Raiser’s Edge; ability to query records for specific gift appeals, event interest, address location, attributes, membership expiration, email address or other record information; and accurately generate letters, mailing labels or Excel mailing lists using Raiser’s Edge processes and/or Queries/Exports.
  • Assist with data entry for Signature Event ticket purchases with constituent and gift entry using standard procedures for marketing and appeal queries and mail lists.
  • Able to prepare and run donor reports such as Financial, Profile, and Analytical Reports from Raiser’s Edge as needed or requested.
  • Participate in Raiser’s Edge training opportunities.
  • Maintain professional respect for and confidentiality concerning Mission records, donors, members, or other sensitive data.

With events support, expected tasks and skill set include:

  • Attending all Mission San Juan Capistrano events on the 5-year calendar.
  • Supporting the Events Director with the set-up and tear down of events.
  • Running necessary errands to obtain food, supplies, and materials for events.
  • Generate signage to provide clarity to guests and the community.
  • Provide support and positive coordination across departments in line with the overall goals of the Historic Mission and Mission Preservation Foundation.

QUALIFICATIONS:

Job Knowledge, Skills and Abilities:

  • Ability to represent Mission San Juan Capistrano professionally in accordance with our standards of excellence in service, stewardship, safety, and guest experience.
  • Ability to take direction in a dynamic environment with changing priorities while meeting deadlines in a timely fashion.
  • Proficient in Raiser’s Edge database software.
  • Ability to work autonomously with accurate, dependable, and reliable work habits.
  • Ability to follow-up and manage details.
  • Excellent written and verbal communication skills.
  • Ability to establish and maintain effective working relationships with diverse individuals and groups.
  • Good computer application skills in MS Word, Excel, and Outlook.

EDUCATION AND EXPERIENCE:

Any combination of experience and education that would likely provide the required knowledge and abilities is qualifying. A typical way to obtain knowledge and abilities would be:

Education: High School diploma or equivalent.

Experience:

  • One or two years of experience in a non-profit organization serving in a membership support role.
  • Three or more years of experience with Raiser’s Edge preferred.

SALARY RANGE:

  • $40,000 - $60,000 depending on education and experience.
