The Community Colleges of Spokane is seeking a highly motivated and qualified individual for the position of Donor Services Assistant in the Foundation Office.

GENERAL DEFINITION

Under general supervision of the Foundation Accounting Manager, this position is responsible for maintaining all records for existing and prospective donors and maintaining the donor database (Raiser's Edge) for all CCS Foundation activities. This position will: administer all gift processing and donor acknowledgements, provide a high level of accountability for the appropriate entry of donors’ gifts, provide reporting and analysis of data, as well as manage data entry, data import, data extraction, data quality and other related activities as needed for all fundraising and marketing efforts.

CHARACTERISTIC DUTIES AND RESPONSIBILITIES
Responsibilities
  • Manage all aspects of the donor database (Raiser’s Edge), which consists of nearly 4,000 active constituent records. This will include data integrity, updates and corrections.
  • Ensure secure and consistent input/output of data related to contact history and increasing levels of involvement/investment.
  • Manage processing of all gifts via mail, credit card, online, and stock transfers.
Gift Entry, Acknowledgments & Reconciliation
  • Enter all cash, checks, and credit card donations with appropriate coding while following established operating procedures and practices.
  • Manage acknowledgements of 1,000+ individual gifts throughout the year, including high traffic seasonal online giving campaigns.
  • Manage pledge payment tracking, reminders and follow up process for 1,200 multi-year donors.
Reporting and Other Functions
  • In consultation with other Foundation staff, develop reports and manage the regular distribution of data.
  • Produce queries, reports, and lists for development and communications staff as needed for mailings, events, moves management and prospect research.
  • Create custom “dashboards” for development staff which demonstrate revenue progress in real-time and manages tasks and actions.
  • Participate in fundraising and cultivation outreach projects and events, occasionally working
  • Train staff and interns on relevant database systems.
  • Model professional decorum and mutual respect in all personal interactions. *
  • Support and advance the CCS strategic plan, and perform other duties as assigned. *

This position is designated a bargaining unit position.

COMPETENCIES & OTHER REQUIREMENTS:
REQUIRED COMPETENCIES (MINIMUM QUALIFICATIONS)
  • Associate degree from an accredited institution. Or an equivalent mix of education and experience that demonstrates the candidate meets all competency requirements for this position.
  • One (1) year experience with Raisers Edge donor tracking and accounting software, or similar database software experience.
  • Strong analytical and organizational skills.
  • Highly detail oriented with a critical degree of accuracy regarding data entry and analysis.
  • Ability to develop queries, import/export and manipulate and analyze data for a variety of fundraising needs.
  • Ability to use discretion and sensitivity in handling highly confidential donor information.
  • Ability to handle multiple deadlines, establish and monitor priorities and maintain flexibility.
  • Ability to use tact and diplomacy in interpersonal relationships.
  • Excellent interpersonal, oral, and written communication skills.
  • Proficiency in Microsoft Office applications such as Excel and Word, including mail merge; and PowerPoint, as needed.
  • Ability to work with others as part of a team.
  • Someone who takes pride in managing a database and is passionate about helping donors.
  • Acceptance of the responsibility to promote the welfare and best interests of students at all times.
  • A demonstrable understanding and acceptance of the mission, values, goals, and objectives of CCS.
  • The ability to perform assigned duties in a manner consistent with applicable laws, regulations, and goals of the institution and community and technical college system.

PREFERRED COMPETENCIES (DESIRED QUALIFICATIONS)
  • Experience working in a non-profit environment.
  • Two years’ experience in an office clerical setting.
  • Accounting or bookkeeping experience.
CONDITIONS/TERMS OF EMPLOYMENT:
TOTAL COMPENSATION: $48,454.00.

Total compensation is an estimate based upon adding the following amounts together:
  • Base compensation, plus
  • Current employer-paid health and related benefit contribution rates, plus
  • Median retirement fund contributions.
The actual total will vary depending upon each employee's enrollment choices.


Person hired must be able to provide acceptable documentation of U.S. Citizenship or lawful authorization to work in the United States. This is an absolute condition of employment. PHYSICAL REQUIREMENTS
  • Work is performed in a normal, temperature-controlled office environment.
  • Frequent use of computer and exposure to terminal screens.
  • Visual focus and strain.
  • Work in a semi-open office setting with frequent interruptions and background noise.
  • Work involves constant interruptions and requirement to answer on demand questions by phone, in person, or electronically.
  • Frequent oral and auditory communication with others.
CONDITIONS OF EMPLOYMENT
  • Full-time schedule (12 month, 40-hours a week).
  • 6-month probationary period; may be extended up to 12 months.
  • This position is overtime eligible.
  • Criminal background check required.
