Position Summary:

The Director, Operations and Database Management is responsible for directing the day-to-day operational aspects of the Development Office in support of fundraising activities by actively managing the donor relationship management system and managing data analytics, financial reporting, reconciliation, operational processes and procedures. This position works closely with all Development Office team members to ensure proper operational processes and donor database accuracy and usage.

The position is also responsible for overseeing the efficient and accurate gift entry and processing of daily gifts/pledges, daily submission of cash deposit/adjustments to finance department for posting to the general ledger and coordinating the generation of daily acknowledgement letters. Creates, generates and provides daily, weekly, monthly, quarterly, semi-annual and annual standard reports and others on an ad hoc basis, including financial and progress reports. This position directly supervises the Database Coordinator.

Key Responsibility

a. Ensure the integrity, efficiency and effectiveness of the CRM/donor database system.

b. Provide oversight on all reporting and data entry.

c. Prepare all monthly financial reports for UHS Finance, team, key stakeholders and SVP/CDO

d. Work in concert with UHS and UT Foundation finance and database teams to ensure accurate and timely reporting.

e. Train and provide ongoing CRM system education for all Development Office team members and other key stakeholders as needed.

f. Manage the day-to-day back office functions of the Development Office including all gift entry, appropriate coding, batching of gifts, daily deposit, routine and ad hoc reporting, acknowledgement letter preparation, reporting, invoice processing and gift fund guideline management.

g. Responsible for all operational policies and procedures - ensuring each team member is updated and process improvement is an ongoing goal for the team.

h. Manages prospect research in support of Annual Giving and Major Gifts initiatives.

i. Works closely with major gifts team to provide prospect and donor analytics to ensure

j. Manages grant writing and key national benchmark reporting.

k. Manages all screening initiatives for prospect research and Grateful Patient Program referrals.

l. Audits and analyzes CRM system usage and provides updates as needed.

m. Key liaison to CRM vendor to ensure new system upgrades and training.

n. Manages the day to day duties of the Database coordinator.

o. Oversees invoice management process to ensure accuracy of all operational and gift fund invoices process before sign off by SVP/CDO.

p. Works with key stakeholders (physicians) and SVP/CDO on use of grant making module and processes.

Works in concert with the system finance department to ensure accuracy, timeliness and efficiency of financial information

  1. a. Works closely with each development department team member to develop meaningful and insightful reports and dashboards.

Work closely with other departments to provide assistance in both grant making and grant writing for their programs and research

a. Create multiple grant making programs for departments to use through the Blackbaud Grantmaking software

b. Manage grant making application process

c. Prepare and submit non-government grant proposals on behalf of other departments, also assisting with research needed to write the proposal

Position Qualification:

A Bachelors degree is data management, computer science, accounting /financial management, business or related field.

Minimum of 3 years of progressively successful experience in complex fundraising database management, preferably in healthcare; Minimum of 3 years of successful training and experience using The Raiser's Edge; 2+ years of financial and/or accounting experience is preferable
