Position Summary:

The position is responsible for the efficient and accurate gift entry and processing of daily gifts/pledges, daily submission of cash deposit/adjustments to finance department for posting to the general ledger and coordinating the generation of daily acknowledgement letters. Creates, generates and provides daily, weekly, monthly, quarterly, semi-annual and annual standard reports and others on an ad hoc basis, including financial and progress reports.

As part of the Development Operations working group, the position reports to the Director of Operations and Database Management and works closely with all team members by generating data and some analysis for specific fundraising projects and/or initiatives.

Database Support:

  • Perform all Development/Fundraising gift entries into the Raiser's Edge database based on the approved processes and protocols, including cash receipts, special events, direct mail, credit card transaction, online and general donations and provide a 24-48 hour turnaround on all gift entry and donor acknowledgment letters

  • Perform all Development/Fundraising gift entries into the Raiser's Edge database based on the approved processes and protocols for gifts received through payroll deductions

  • Generate daily donor acknowledgment letters from the Raiser's Edge for editing

  • Provide liaison support between Development and Accounting for reconciliation processes and manage internal accounting reports and GL postings; reconcile monthly financial reports and create executive reports for the CDO, CEO and UHS Board

  • Works closely with payroll departments and the Development Offie team to ensure the accuracy of the Team Member Giving Program by comparing monthly payroll deduction files and tracking team member pledges and pledge payments

  • Prepares monthly internal fundraising reports for the Development team

  • Prepares monthly pledge reports to assist with mailing pledge reminders

  • Works closely with the UT Graduate School of Medicine and UT Foundation finance and database administration teams to ensure accuracy and best practice implementation.

  • Prepares data selections for solicitations and mailings (appeals, newsletters, annual reports, event invitations, emails, etc.).

  • Ensures that all recipients of mailings are coded in the database to track appeals and actions conducted by the Development Office

  • Supports Major Gift Officers by adding new constituents in the database and updating existing constituent records as requested so that all information in the database remains current and correct

Support with Grateful Patient Program/Prospect Research:

  • Complete data entry for prospects identified in the Grateful Patient Program, ensuring proper coding is used as outlined in Grateful Patient Program Tracking Your Success guide.

  • Completes ad hoc prospect research and ensures that constituent information is linked and synced between Research Point database and the Raiser's Edge database.

Position Qualification:
  • Bachelor's degree required with preference in data management, computer science, accounting/financial management, or related field or equivalent experience

  • Minimum of 1-3 years of experience working in a nonprofit organization or similar sales focused office environment

  • Minimum of 1-3 years of experience in fundraising database management or similar sales (CRM system); experience using The Raiser's Edge software preferred

  • Advanced computer skills, particularly with use of relational databases, especially Blackbaud products (CRM, Raiser's Edge) or other similar products

  • Strong analytical skills, including expertise in the modeling and analysis of data.

  • Ability to manage and prioritize multiple deadlines with short turn-around times.

  • Proficiency in Microsoft Office products especially Excel and Word

  • Demonstrated excellent written and verbal communication skills with a keen attention to detail

  • Ability to manage multiple projects with competing demands, while maintaining a commitment to excellence
