Director of Development Operations - Boston, Tufts Medical Center

The Director will be responsible for providing leadership, strategic vision, and planning for the institutions fundraising prospect management and analytics, as well as proving leadership to the stewardship and donor relations functions. The Director supervises the Development Operations team and collaborates closely with frontline fundraisers; the Director, Grateful Patient Program, and the Director of Development, Annual Giving.
With the support of the Data Systems Specialist, this position supports Tufts MC in its fundraising efforts by developing customized information and analyses that contribute to building and maintaining donor relationships and strengthening donor connections. In addition, the Director helps develop the structure and procedures to support those relationships, identifying and implementing tools for stewardship; communication; and analytics, metrics, and other reporting activities.
PRINCIPAL DUTIES AND ESSENTIAL FUNCTIONS:
Oversee advancement database systems 65%
- Manage Raisers Edge and its integration with Tufts Medical Centers patient database (currently Soarian; transitioning to EPIC) and NetCommunity in collaboration with Tufts Medical Center Systems IT professionals, other user groups, and Tufts MC staff.
- Responsible for creating efficiencies in HIPAA-compliant development infrastructure, data integrity, policy and procedures; and advises and supports staff in its implementation. Organize, in collaboration with user groups, upgrades, testing, and any future conversion to new database.
- Develop and generate analytics reporting: organize, implement, design and evaluate reporting processes. Drive the generation of guidelines and systems for best-practice utilization of advanced data analysis, reporting tools, and prospect research.
- Ensure that data requests and reporting needs for staff and clinical partners are timely and accurate with information shared in accordance with best practices.
- Develops and produces analyses and reports on ongoing fundraising history and current performance, prospect pool status, pipeline forecast reporting, list generation, and other business intelligence used to inform the strategic management of fundraising operations
- Write and maintain documentation to describe program development, logic, coding, testing, changes and corrections. Provides programs that are well-documented and easily repeatable.
- Create, analyze and implement processes to integrate information between Raisers Edge, Soarian, NetCommunity, and outside data sources. Encourage, support and enforce greater use of technological platforms, tools, and metrics in order to maximize efficiency and accountability across the development team. Stay current on Raisers Edge database operations, serve as database system administrator, and ensure training to staff is delivered consistently with appropriate access and permissions.
Support of and integration with outside data - 5%
- Evaluates data and software vendors and systems, provides assessment and recommendations for implementation. Maintains vendor contracts, renewals, terms and conditions.
Oversight of department budget and liaison with finance 10%
- Manage the department budget, including, with the support of the Development Associate, the provision of necessary office equipment and supplies
- In conjunction with Finance and Development staff, create new funds, secure purpose statement and serve as internal resource for fund inquiries
- In collaboration with finance, manages pending funds and ensures fund designation aligns with donor intent, when necessary
- Further develop and implement processes for financial reporting in accordance with industry standard best practices. Oversee month-end reconciliation of gifts received and related reporting to internal and external partners. Work with accounting to ensure that all gifts are properly recorded to the general ledger. Oversee monthly reporting of gifts transferred to internal and external partners.
Supervise the Development Operations Team 20%
- Includes the Development Systems Specialist, Development Associate, Prospect Researcher, and additional positions as needed
- Monitor the gift entry activities of development staff, as needed

- Ability to pass on knowledge to others, train colleagues on work processes and data quality systems
- Expertise in working with Raisers Edge required
- Knowledge of Microsoft Word, Microsoft Excel, Outlook, database software, and contact management systems
Education
- Bachelors degree or equivalent experience required
Experience

5+ years of experience in an Academic Medical Center setting desired, including significant experience in database management
