Position Overview Summary:

Provide support to the Gift Operations Manager through gift processing, data entry, report generation, constituent list selects, documentation and process improvement. Training will take place in person on Biola’s campus. Once training is complete, work will be a combination of remote and in person.

PRINCIPAL DUTIES AND RESPONSIBILITIES

Gift Processing

Collect daily donations received by Advancement and other university departments; evaluate, sort and total all donations made to the University on a daily basis in order to create daily gift batches

Perform gift analysis and entry procedures and process daily gift batches in a timely and accurate fashion

Analyze gifts to determine appropriate campaigns, funds, appeals for each gift to be processed; select appropriate acknowledgement letter based on the above criteria and the source of the gift

Process event registrations

Process credit card donations received via phone, mail and online utilizing PCI compliant procedures

Collaborate with the Advancement Communications Coordinator to create and maintain a gift processing and event appeal calendar, creating and documenting appeals as needed

Maintain donor confidentiality

Reporting

Produce and distribute monthly donation reports as needed for various departments

Produce monthly Deceased reports and distribute them as needed

General Tasks

Update constituent information in the data base as needed

Be cross-trained on all aspects of Advancement Services and work in conjunction with other team members during peak times

In collaboration with colleagues in Advancement Services, document departmental policies and procedures and update the department's manual describing gift and pledge processing policies, procedures, and systems

In collaboration with colleagues in Advancement Services, seek continuous process improvement by proactively and continually assessing workflows to identify opportunities for increased efficiency and data integrity

Perform related duties as assigned

This position reports to the Manager of Gift Operations

SKILLS REQUIRED:


· Self-initiating person, organized and able to work independently with minimal supervision

· Direct knowledge and experience with relational databases such as Raiser’s Edge or pro-certification within 3 months of hire

· Extensive knowledge and experience with Excel

· Ability to work occasional evenings and weekends during peak processing seasons at calendar year-end (mid- December to mid-January) and fiscal year-end (late June to early July)

· Ability to think strategically about complex issues and to work with multiple resources to find solutions

· Meticulous attention to detail and the ability to track multiple deadlines at once

· Strong verbal and writing skills, high attention to detail and follow-up, and excellent organizational skills

· Demonstrated superior skill to establish priorities, organize tasks, and direct effective implementation of tasks in a high-pressure environment

Preferred:

· Experience in higher education is strongly preferred

· Direct experience with Raiser’s Edge database
