Position Summary:

The Database and Admission Services Manager serves as a support professional for all admission and enrollment data entry, including entry and processing of all inquiries, applications and enrollments. The Database and Admission Services Manager is responsible for the performance, integrity, maintenance and security of school databases. This position also is involved in streamlining all data related processes and acts as a resource for the training of end users and administrative departments. This position provides administrative support to all members of the Admission Team. It is a twelve-month position with hours from 7:30 a.m. to 4:00 p.m. Monday through Friday. Availability to work occasional nights and weekends.

Key Responsibilities:

  • Provide statistical analysis and prepare reports for the Director of Admission, Head of School and School Committee
  • Maintain statistical and trend reports related to admission, enrollment, financial aid, and long-term modeling
  • Maintain and administer school databases, including the Student Information System (Blackbaud Education Management)
  • Coordinate and lead the implementation and upgrade of all school databases
  • Coordinate synchronization of data between applications using APIs, scripts, or imports and exports
  • Standardize, document, and maintain data handling procedures for all database users
  • Run regular reports to verify and ensure data integrity of all school databases
  • Populate all student record databases in preparation for the upcoming academic year
  • Provide data customization when necessary (e.g., create templates, queries, reports)
  • Serve as liaison for all employees using the student information systems
  • Provide formal and informal training to Blackbaud end users
  • Prepare financial aid requests from current and prospective families using data submitted through School and Student Services (SSS)
  • Work with the Development Office to assist in the distribution of EITC and OSTC grants
  • Provide administrative support for the Admission Office
  • Respond to general inquiries and requests for applications; manage event RSVPs
  • Interact with students, families, and guests

Preferred Qualifications:

  • Familiarity with Blackbaud or a related admission management software system, as well as proficiency in Excel and the the Microsoft Office suite of products
  • Database management and reporting experience
  • Strong critical thinking skills, including the ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Familiarity with MailChimp or other email marketing platforms
  • Experience evaluating financial aid requests based on data submitted through a parent financial statement or a similar financial evaluative process
  • A minimum of five years professional experience
  • Strong organizational, interpersonal and phone skills
  • Adept at multitasking
  • Enjoys working in a team environment
  • A Bachelor’s degree
  • Successful completion of state and federal clearances is a condition of employment
