Sponsorship Tracking outside Events module

Hello everyone! I'm brand new to RE NXT (My experience is Salesforce NPSP) and would like to figure out how to track sponsors are soliciting for an event. We don't have the event module, so here's how I'm thinking about it:
  • Create an appeal for this sponsorship, choose the fund where proceeds will go
  • Assign constituents to this appeal
  • Assign solicitors to the constituents
  • Track the status of each constituent regarding this appeal (i.e. soliciting, committed, paid, declined)
  • Have an open text field for the solicitor to add notes
Would then like to create a report giving me the:

Constituent

Solicitor

Amount solicited

Status of solicitation

Notes


I assume I'd have to create a query, then run a report.


Does my thought process line up with how NXT works? And can anyone point me to a resource to walk me through how to do this? I'm slowing making my way through the training, but I'd love to get this done for my event committee now.

    Welcome to RE NXT! To do this level of input, I'd consider using the database view to do it, and you'll also need to be there for running both your query and your report, unless I'm missing something new in the WebView. (If anyone knows of a good WebView way to do this, please chime in!)


    You're on the right track.

    Step 1 is definitely to create the appeal, and you can default it to the fund in your setup.

    Step 2 is spot on, but not necessary to create your report, so if you need to skip something for time, this is the one to skip

    Step 3 - do this, yes - when you do it, you can add the appeal in the solicitor information too, if I'm not mistaken (doing this answer from memory after closing RE for today - I'll try to check and confirm tomorrow-ish)

    Step 4 - this will be done as a proposal and can be done in the WebView by your solicitors if they have access / or you if needs to be you right now - there is a field in the proposal to enter text


    In the database view, I'd definitely use the Query area to gather your records together. Then there's most likely a report you can use - think outside the box here a little bit - I've used the gift detail and summary report (in the Financial reports area) for many things that you wouldn't necessarily intuit it to be for. Play around with your reports. Look at the last tab, and check all your options. If you can't find a good canned report that fulfills your needs, use Export to extract the data into Excel and format into a lovely report.

  • Heather is absolutely correct. I actually prefer the database view because it's what I learned first. Also, just be mindful of user error, if someone applies the gift to the wrong appeal it's going to affect your report.

    I also confirmed today that not only can you add appeal to the solicitor relationship, campaign and fund can also be added. Make sure you fill in your start date too!
