Events & Development Assistant

Reports to: Development Director (primary), Events Manager (project-based)

Salary: $15/hour, 40-hour workweek.


A salary differential allowance of $0.50/hour will be paid to bilingual incumbents fluent in Spanish. Additional hours may be necessary during certain events.

Work Schedule

The usual workday is M-F during normal business hours. Extended hours and weekends may be necessary based upon the event schedule.

Required Skills
  • Experience with Excel, Word, and Gmail is required.
  • Experience in Raiser’s Edge and Givesmart will be given preferential consideration.
  • 2-3 years in fundraising and/or event planning (preferably in the nonprofit sector) preferred.
  • Excellent written and verbal skills, including excellent phone presence.
  • Basic graphic designing skills in Adobe Photoshop, Canva, and Microsoft Publisher preferred.
  • Excellent organizational abilities: setting priorities, meeting deadlines, managing workflow, and multitasking.
  • Must be a reliable and dependable team player on a fast-paced development team, with flexibility and the ability to adapt and step in to help in a variety of fundraising areas as needed.
  • Ability to work with a positive outlook, and take initiative when required.
  • Ability to work independently.
  • Ability to interact with donors and sponsors in a positive, professional manner.
  • Ability to professionally advocate for HSU’s programs and animals.
  • Passion for animal welfare and a love of working with animals. Must be comfortable working with all sizes and breeds of dogs.
Physical Requirements/Work Environment
  • Ability to stand, walk, stoop, kneel, crouch, climb and manipulate (lift, carry, move) up to 50 pounds.
  • Ability to work outdoors in varying temperatures and climates.
  • Ability to work with animals of varying temperaments in noisy conditions.
  • Responsible for presenting a neat and professional appearance to the public at all times.
  • Must have a valid driver’s license with a clean driving history.
Responsibilities

The Development and Events Assistant will have a dual role, supporting the Events Manager on all Humane Society of Utah’s (HSU) events, and providing overall administrative support for the development department.


Development Role
  • Enter donor information into Raiser’s Edge, and assist in the processing of acknowledgment letters.
  • Manage memorial brick program including processing orders, notifications, and coordinating installment with facilities manager.
  • Other development tasks and special projects as assigned by Development Director.
Events Role
  • Assist the Events Manager with planning, promoting, and executing all of HSU’s existing recurring fundraising events (Gala, Bark at the Moon, Picture Your Pets, Paint Nights, etc)
  • Assist the Events Manager to grow and diversify HSU’s existing special events calendar by actively seeking out and implementing new fundraising events, community promotions, and social functions on a regular basis throughout the year.
  • Assist Events Manager in overseeing interns and assigning tasks on an as-needed basis.
  • Procure in-kind donations for a silent and live auction held at the Gala, as well as in-kind donations for other events throughout the year.
  • Responsible for timely promotion and updates of all events on community platform calendars (KRCL, SLUG, SL City Weekly, etc), HSU’s website, and Facebook.
  • Participate in Events Committee meetings to plan and execute assigned task areas of the Gala, including but not limited to the silent and live auctions.
  • Administrative duties such as data entry, income, and expense reporting, thank you letters, etc.
  • Assist with the HSU’s “Special event retail” (HSU branded T-Shirts, hoodies, annual calendars, and other collectible items), which includes procuring design ideas, ordering, inventory, and income tracking.
  • Assisting in all aspects of setting up, staffing, cash/CC handling, and reporting of “Special event retail” at HSU events and other community events in which HSU has a booth or retail space.
  • Oversee and organize special event inventory, materials, and supplies for department use at on and off-site events.
  • Assist Development and Marketing teams on a variety of projects and fundraisers as needed.
