Development Coordinator (RE person) in Long Beach, CA

Summary: The Development Coordinator will assist with the day-to-day operations of Mental Health America of Los Angeles' Development/Communications Department and perform key coordination responsibilities related to MHALA’s Board of Directors and the President/CEO. The Development Coordinator will lead the volunteer program.
Essential Duties and Responsibilities: This is not an exhaustive task list, and other duties may be assigned as deemed appropriate or necessary by the supervisor or program director. Database Management:
• Update and maintain accurate donor gift processing, scanning documents to donors’ records and adding individual, corporate and foundation contact information in donor databases (Raiser’s Edge)
• Standardize, rationalize, and ensure donor database health
• Pull reports and support monthly, quarterly and annual benchmarking
• Create and manage database queries (and integrate with crystal reports)
• Type and organize contact report information
• Compile and prepare a variety of special reports including reports that are sensitive and/or confidential in nature
• Interface with the Accounting Department to properly route donations and reconcile each month’s donations in RE align with accounting donation records

• Efficiently and accurately administer gift processing donations
• Handle demanding tasks and assignments that may be sensitive and/or confidential
• Review and respond promptly, accurately and cordially to email inquiries
• Compose, type, and proofread general correspondence, generate donor acknowledgment letters, and other development documents, using correct grammar, spelling and punctuation
• Assist with guest registration, check-in, and payment collection during special events. Help to coordinate live and silent auction item acquisition and distribution following auctions. Work with special board, staff, and community committees related to special events
• Coordinate mailings with outside vendors for programs and development events
• Prepare individualized donor presentations
• Prepare donor and media kits on the agency and its programs

• Manage the Board of Directors meetings, retreats and special events including scheduling meetings; facilitate room set up and menu planning with meeting venue; preparing agendas, resolutions (including background information on the resolution), chair’s notes and other pre-meeting materials and handouts; take minutes at Board and Committee meetings and submit written minutes to President/CEO within two weeks of meeting for approval
• Prepare and manage Board of Directors roster, attendance and orientation for new Board Members
• Coordinate with affiliated organizations to prepare and present any resolutions or requests needed from MHALA’s Board of Directors
• Work with Chief Development and Communications Officer on any fundraising issues involving the Board of Directors as requested
• Work with the President/CEO & Chief Financial Officer to prepare reports and information for the Board as requested
• Work with the President/CEO in preparation of Board-related communications as needed and manage other Board activities as requested by the CEO
• Assist with coordination and note taking for specific agency task force meetings

Position requirements:
• Minimum of 4 years of experience in an office setting managing donor databases, executives scheduling, communication and support
• Excellent written and verbal communication skills
• Excellent organizational, critical thinking and problem solving skills
• Must have attention to detail
• Great customer service skills and ability to maintain a consistent, high level of service
• Must have ability to multi-task, manage multiple projects and establish priorities without losing productivity
• Internet research abilities
• Maintain a professional appearance and demeanor at all times
• Must function well in a team-oriented approach to member services
• Proficient in computer applications including Raiser’s Edge, Microsoft Word, Excel, Power Point and Outlook
• Accurate typing at 25-35 wpm
• Good working knowledge of all basic office machines, including standard telephone switchboards, photocopiers, fax machines, postage meters, PC’s, scanners, printers etc.
