Focus

The Associate Director is responsible for the overall function, in partnership with the Director of Gift Administration & Philanthropic Stewardship Data, for the function of the department. The position conducts high-level stewardship efforts of the Office of the President of the University and UC Foundation through letter writing and other key correspondence, as well as managing all aspects of the acknowledgement process for UC Foundation.

This position leads the gift agreement creation and development process by writing gift agreements that serve both the donor and the institution as we accept new gifts and create new funds. This position works directly with major gift officers, leadership, finance and all others involved in the process. It also transcends the gift data team as well as the philanthropic stewardship team to ensure that business processes and data are as streamlined and effective as possible. Using a combination of operational, business analyst skills this position looks at how things can be done easier, makes recommendations and partners with teams to bring them to life.

This position is responsible for partnering throughout the organization in the implementation of comprehensive stewardship programs that ensure donors are systematically stewarded. This position comments on available information and how the team can support efforts. It also serves as a conduit to UCF staff to answer questions and provide direction to support in the gift administration process.

Specific Duties

  • Serve as the point of contact, and executor of the comprehensive gift agreement process for UC Foundation and UC Health. Serve as the Subject Matter Expert in the ongoing development and execution of a comprehensive gift agreement process to support development efforts in obtaining gifts.
  • Serve as an expert in the gift acceptance policy, a contributing author to revised versions and a point of contact for questions.
  • Serve as a trusted advisor/business analyst to the Gift Administration and Philanthropic Stewardship Data team to ensure processes are efficient and effective.
  • Lead the stewardship and donor correspondence processes for the UC and UC Foundation Presidents by acknowledging presidential gifts daily.
  • Oversee the donor acknowledgement process for the UC Foundation & UC Health to ensure a comprehensive and standard approach for all donors regardless of unit of giving. Acknowledgements are produced in the units, the AD ensures the effective process.
  • Innovate and automate the gift agreement and acknowledgement processes, leveraging technology to expedite gift agreements and bring efficiency to acknowledgements, while upholding the best interest of the donor.
  • Review and support the processes for electronic and print receipts for donors.
  • Manage acknowledgements for tribute gifts, sending notices of IHO/IMO gifts to UC and providing support for IHO/IMO gifts to UC Health.
  • Support UCF’s priority in driving an owned organization culture that fosters trust, respect, transparency, inclusiveness, and accountability.
  • Handle confidential information and correspondence with discretion and professionalism.
  • Other duties, as assigned.

Requirements

  • Bachelor’s degree with 3-5 years of experience, or advanced degree with 2-3 years of experience.
  • Well versed communicator and creative writer with a high degree of customer service orientation, with the ability to effectively communicate both orally and in writing with a diverse group of individuals to appropriately represent the department and promote the Foundation.
  • Ability to work both independently and collaboratively with various departments.
  • Exceptional attention to detail and superior writing skills.
  • Comfort and experience researching best practices and recommending changes.
  • Familiarity with Gift Acceptance Policies, CASE standards and the ethics and legality of accepting gifts for a Foundation.
  • Ability to drive processes and work products in the face of demanding expectations.
  • Proven ability to automate processes for efficiency and design them to work seamlessly.
  • Proven ability to work collegially with a diverse set of constituents, including donors and alumni, professional financial and legal advisors and UC Foundation colleagues.
  • Strong organizational skills and attention to detail.
  • Ability to prioritize effectively to meet multiple competing deadlines.
  • Ability to deal with donors and with confidential information.
  • Proficient in Microsoft Word and Excel; ability to learn new computer programs and database management.

Physical Demands

This position is considered to have sedentary work. Exerting up to 10lbs. of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. This position requires:

While performing the duties of this job, this position is not substantially exposed to adverse environmental conditions (such as in typical office or administrative work).
