The Royal Alexandra Hospital Foundation in Edmonton, Alberta, Canada is seeking an Information Officer in the Finance & Operations department. The Foundation funds ground-breaking education, cutting-edge research, next-generation technologies and facility enhancements. It supports a growing number of specialized centres of health care excellence located at the Royal Alexandra Hospital campus, including the Lois Hole Hospital for Women, the CK Hui Heart Centre, the Orthopedic Surgery Centre and the Eye Institute of Alberta.
The Position
The Position
Reporting to the VP Finance & Operations and CFO, the Information Officer is responsible for managing, distributing, and maintaining donor databases efficiently and effectively. Also, Information Officer uses her/his expertise to ensure data integrity by handling them as accurate, safe, secure, and easily accessible.
In addition, the Information Officer is responsible for identifying and procuring information that would be especially valuable for the Royal Alexandra Hospital Foundation(RAHF). This includes overseeing and implementing appropriate Information Technology functions to support the RAHF.
Furthermore, this position is responsible for both macro and micro aspects of the information system:
Macro duties: responsible for any types of cybersecurity incidents such as Data breaches, Insider threats, Phishing attacks, Malware attacks, Denial-of-service (DoS) attacks, and Email attacks, etc. within the RAHF activities, including websites and social media. Engage and perform as liaison with cybersecurity special consultants (outsource). Develop a cybersecurity risk management assessment schedule and execute it periodically.
Micro duties: day to day IT operation at RAHF through Alberta Health Services (AHS)Information department. Responsible for any issues related to our information system, such as Outlook email, network, and or other computer-related issues must be a responsibility for this position. Communicate with the AHS Information department closely and understand the IT infrastructure environment under the AHS umbrella.
Key Responsibilities
BLACKBAUD’S RAISER’S EDGE(RE) DATABASE MANAGEMENT, Policies, and Procedures
- Develop and implement donor data hygiene structures, guidelines, and procedures to ensure the data is well managed.
- Identify, prioritize, and supervise database clean up periodically and generate reports.
- Perform data audit and data deletion, and establish, review and update the data procedures periodically.
- Develop procedures for entering data into the RE database to support activities in collaboration with other staff.
- Generate queries and prepare reports as requested relating to ongoing organization reporting requirements and populate data as required.
- Monitor and assess current information systems at RAHF, and develop and implement new systems as necessary.
- Review and update the existing standard operating procedure document.
- Develop policies and procedures as they relate to data fields, gift processing, tax receipting, and ongoing database maintenance.
- Develop queries to identify records for database clean-up.
- Be aware of ongoing updates to RE Procedures Manual and communicate changes in RE policies and procedures.
- Work with the Development and Annual Giving team to develop and document procedures for data entry and query in support of all activities related to the use of RE as necessary.
- Provide coordination and/or support of strategic projects in the areas of data entry, database management and maintenance, and general operations.
- Ensure compliance with Canadian Anti-Spam Legislation legislation (CASL).
- Pull requested data from Raiser’s Edge for the purposes of (but not limited to):
- Direct mail & eBlast lists,
- Annual report mailing lists,
- Event invitation lists,
- Donor and Fund contact lists,
- Recognition lists, and
- Others as needs
- Support Manager Donation Processing in generating lists from RE as required.
- Perform a donors’ database audit periodically and generate an outcome report.
- Work collaboratively with Development and Annual Giving team members and generate donor database reports as necessary.
- Other ad-hoc reports as required.
- Support information technology software and devices procurement and support in collaboration with AHS Information Technology.
- Deal with any issues raised surrounding the AHS IT environment.
- Understand and recognize the potential threat or attempted breach through both AHS IT and cloud systems.
- Oversees the Blackbaud solutions and database security
- Administration over the RE donor database and be a contact person with external stakeholders such as Blackbaud, iATS, Omatic, and other web developers.
- Be aware of the latest cyber issues and keep updated the new trends in the cyber environment.
- Be familiar with the current security and recognize the security gaps (if there are). Prepare an action plan when warranted.
- Periodically, plan for a cybersecurity risk assessment schedule and work in close coordination with outsourcing professional service.
- Bring to attention to VP Finance & Operations and CEO, any concerns in relation to cybersecurity matters.
- Educate/train the RAHF employees on most recent cybersecurity issues periodically.
- Perform other duties as required.
Qualifications
- Have a Bachelor’s degree in Computer Science or a related field is preferable.
- A minimum of 3 years’ experience in the information technology field is required.
- At least three years’ experiences with Blackbaud products, such as Raiser’s Edge, Luminate, Team Raiser, or similar database tools.
- Be knowledgeable of cloud business systems and the Azure environment.
- Must be familiar with all Microsoft Office products, and maintain updated knowledge on the products.
- Demonstrated ability and comfort with decision-making responsibilities including the ability to rapidly process and comprehend sensitive information.
- Strong project management skills and ability to balance competing priorities, complex situations, and tight deadlines.
- Outstanding technical attributes with the ability to think strategically with a business mindset.
- Ability to foresee possible issues and troubleshoot them proactively.

Additional Requirements
Security Clearance Check:
All NEW employees are required to provide a successful satisfactory Canadian criminal record check and/or Vulnerable Sector Search prior to the start of their employment. The check must be specific to the role and must be dated no more than 90 days prior to the date on the written offer.
Hours of Work:
7.75 hours per day Monday-Thursday. 31 hours per week. Currently our Foundation is working a 0.8 FTE work week due to COVID-19 pandemic challenges. This is expected to last from September–December 2020, with possible extension to March 2021. Position will become 1.0 FTE after this time.
7.75 hours per day Monday-Friday. 38.75 hours per week. Permanent 1.0 FTE

Salary is commensurate with experience. This is a full time permanent position that includes a competitive benefits package.
