Position Description:

The Development Database Manager’s primary focus is to administer all aspects of the Raiser’s Edge NXT (RE/NXT) database and assist with donor analytics and data-driven fundraising strategies in support of Bank Streets’ fundraising goals. They will maintain the integrity of the database by working cross-functionally to ensure accurate data and gift entry, record nuanced relationship management details, and produce custom and standard analytic reports. They will process all gifts, conduct financial reconciliations, maintain documentation of database business rules/procedures, and trouble-shoot user questions and issues. They will support their colleagues by identifying and reporting on key performance metrics that reveal trends, challenges, and opportunities. They will ensure that the database is organized in order to maximize efficient use by frontline fundraisers, and support their colleagues in finding solutions. This is a full-time 12-month position that reports to the Managing Director of the Development and Alumni Relations Office (DARO). This position will manage the Development Assistant and work in close collaboration with the Business Office.

Database Management:  30%

  • Manage the Raiser’s Edge database to ensure the integrity and accuracy of information entered into the database and that all protocols have been followed.
  • Develop, maintain, and document procedures for use of Raiser’s Edge database. Train staff on policies and processes, as well as the use of the database.
  • Execute important initiatives to streamline, automate, and maintain any routine procedures associated with gift entry, membership tracking, prospect management, and other essential DARO tasks.
  • Lead the enforcement of data entry controls, conducting regular data hygiene procedures, and performing continual data audits with staff training and corrective training/review.
  • Provide support to systems within the Development Office, including other Blackbaud products including Merchant Services and Online Express for sending email communications.
  • Willingly pull reports for mailings, portfolio reviews, etc.

Gift Processing:  30%

  • Supervise the Development Assistant to
    • Process checks, online gifts, gifts of stock, matching gifts, phone, and in-person donations in a timely fashion in partnership with the Development Assistant.
    • Ensure timely (24-48 hours) generation of acknowledgment letters and tax receipts for all donations
  • Support the timely and accurate workflow of constituent and gift information into the database
  • Establish and maintain agreed upon gift entry procedures and coding standards.

Data Analysis and Reporting:  25%

  • Support planning and decision making by translating data into user-friendly reports and presentations through data visualization tools.
  • Consult with, advise, and support Development DARO staff for list generation (mailings, portfolio review, etc.) and report preparation.
  • Independently or in collaboration with the Managing Director and DARO leadership team, create and execute standard and customized database reports that meet the evolving needs of the fundraising teams.
  • Execute regularly scheduled and ad hoc performance matrix reports
  • Maintain standardized tools and procedures to track end-user list and report requests, as well as data management and database improvement projects.
  • Analyzes constituent giving trends for stewardship and recognition purposes, as well as prospect identification, audience segmentation and direct mail strategies.
  • Partner with the finance department to run reports for monthly reconciliation.

Management:  15%   

  • Supervise, coach, and mentor Development Assistant.
  • Maintain transparent communication. Appropriately communicate organization information through department meetings, one-on-one meetings, and appropriate email, and regular interpersonal communication.

Qualifications:

  • College degree
  • 3 – 5 years of professional experience in a fundraising or development context, specifically database management, data analysis, and/or information systems/services.
  • Experience managing direct reports preferred
  • A customer service approach and the ability to demonstrate flexibility and problem-solving skills to resolve situations in a professional and calm manner
  • Experience and skill working with relational fundraising databases (Raiser’s Edge experience REQUIRED) including query and report writing.
  • Knowledge and proficiency in development operations best practices, as well as relevant relational database or CRM usage. Experience with Oracle is desired but not required.
  • Strong computer skills, including advanced Excel knowledge, internet applications, and other Microsoft Office suite applications
  • Sound judgment in handling confidential and sensitive material
  • A collaborative approach to management and teamwork
  • A detail-oriented “self-starter”, with excellent time-management, critical thinking, organizational, and analytical skills
  • Effectively prioritize and execute tasks conforming to shifting priorities, demands and timelines
