Job Posting Summary:

The Admission Registrar is responsible for all administrative aspects of K-12 admission activities and is expected to provide outstanding service to prospective school families in-person, on the telephone, and via electronic communication. He or she is expected to have the basic information necessary to answer frequently-asked questions to better serve prospective families with various inquiries. Occasional off-hour attendance at and assistance with admission events will be necessary.

 

Key Responsibilities and Essential Functions:

  • Abides by Ensworth’s Employee Handbook and Code of Conduct
  • Commits to the ideals expressed in Ensworth’s Mission Statement, Vision Statement, and Diversity, Equity and Inclusion Statement
  • Performs all data entry with admission database including inquiries, entries of new student intakes, tracking of applications and enrollment documents
  • Provides support for K-8 and 9-12 Directors of Admission and all members of the Admission Team
  • Oversees the daily calendar for the Admission Team ensuring that applicants, families, and admission personnel are aware of all events, including any changes or additions, every day
  • Maintains inventory of admission materials, school publications, testing materials, and prepared admissions information packets
  • Schedules meetings, tours, campus visits, shadow days, and interviews for prospective families and students
  • Maintains guest lists and RSVPs, gathers and prepares registration materials, oversees setup and cleanup, and coordinates refreshments for all admission events
  • Prepares and confirms completion of admission files for all applicants
  • Creates reports as directed from the Enrollment Management module within Blackbaud's Education Management Solutions K-12 software, including weekly status reports of admission funnel progression
  • Other duties as assigned

 

Qualifications/Experience:

  • Associate’s or Bachelor’s degree in a related field
  • A minimum of three years of experience in an administrative position, preferably in a school admission office
  • High proficiency in Microsoft Word and Excel, and database management experience
  • Willingness to be trained in fundamentals of software and database essentials as necessary
  • Well-developed interpersonal, written, and verbal communication skills, including the ability to communicate effectively with all constituents in a school environment: students, co-workers, parents, and the public
  • Adaptability, honesty, self-reliance, teamwork, dependability, flexibility, willingness to listen and learn, work ethic, determination, persistence, problem-solving skills, loyalty, and congeniality are essential
  • Excellent verbal and written communication skills
  • Ability to organize and prioritize work, multi-task, and manage time effectively
  • Ability to work independently with little supervision, and to be pro-active with any questions or ideas in order to meet all deadlines
  • Must successfully complete background screening and verification

 

Physical Requirements and Work Environment:

  • Regularly works in standard office conditions and climate
  • Works at a computer screen for extended periods of time
  • Works at a desk for extended periods of time; occasionally moves around campus, including stairways and outdoor walkways
  • Ability to occasionally move items weighing up to 30 lbs. across the campus/office
  • Sometimes works in a highly stressful environment, effectively dealing with a wide variety of challenges, deadlines, and a varied and diverse array of contacts, Stamina to maintain attention to detail despite interruptions
  • Ability to occasionally work flexible hours to support before and after-school or weekend events
