The Manager, Planned Giving & Development Operations is responsible for performing key operations-related activities for the Development department and partnering with internal and external parties to ensure policy and regulatory compliance pertaining to gifts.
Principal Duties and Responsibilities (*Essential Duties)
Planned Giving Operations
- Review all planned gifts to ensure appropriate documentation for counting and crediting, and compliance with USO policies.
- Collaborate closely with finance to ensure proper designation, accounting requirements, etc. are met.
- Execute all steps necessary for estate settlement, including but not limited to, correspondence with estate executors and attorneys; review of Notices of Probate, Will or Trust documents, accountings, and Receipt, Release and Indemnification documents; recording bequest pledges or gifts.
- Manage the administration of all estates, including communications with attorneys, fiduciaries and other advisers.
- Create planned giving reporting and written policies for PG operations.
Development Operations
- Collaborate with Finance and IT departments to ensure all business processes comply with established procedures, and that organization-wide database activities are efficient and well-coordinated.
- Oversee, including developing, implementing and monitoring operational protocols for all major gifts, planned gifts, and foundation and corporate fundraising efforts.
- Interface with IT staff to resolve CRM issues and/or suggest system enhancements.
- Interface with accounting staff to ensure data consistency between finance systems and fundraising databases.
- Create queries and reports, and assist with data uploads.
- Collaborate with Manager, Fundraising Systems on the review of reports and data requests from field fundraisers to ensure consistent data definitions and the optimal use of existing resources.
- Provide pro-active and reactive data support for fundraisers as needed.

Job Specifications - minimum Knowledge, Skills, Abilities and Behaviors necessary to perform the job successfully. Equivalent combination of education and experience is acceptable.
- Bachelor’s Degree.
- 5+ years work experience in a fundraising/development operations role. Relevant experience in a non-profit, military, multicultural and/or global organization preferred.
- Strong analytical, communications and organization skills.
- Strong interpersonal, customer service and problem-solving skills. Ability to interact with USO Leadership, the general public and military audiences at a variety of levels with integrity and professionalism. Ability to manage and influence external relationships.
- Proficiency using computers and electronics equipment. General knowledge of various software, applications, and programs including but not limited to Microsoft Office.
- Demonstrated ability to exercise sound judgment related to controversial and/or culturally sensitive subjects. Ability to handle confidential information with tact and poise.
- Must show initiative, self-motivation, and attention to detail with the ability to manage multiple projects with competing priorities. Ability to quickly and easily adapt to changing organizational needs.
- Ability to achieve desired results while working collaboratively in a team environment.
- Ability to perform basic math and follow proper cash/donation handling and reporting procedures, and business/accounting functions, including project management and budget reconciliations.
- Ability to obtain and maintain proper credentials necessary to access USO Center locations and facilities including but not limited to security, credit and/or background screening, SOFA status, valid driver’s license.
- Must be a strong advocate of the USO’s mission.
