The Council for a Livable World (CLW) is a non-partisan 501(c)4 non-profit organization that promotes policies to reduce and eventually eliminate nuclear weapons. CLW advocates for a more principled approach to U.S. national security and foreign policy and seeks to increase peace and security and to reduce the threat of war and nuclear weapons by representing our members in Washington D.C. and endorsing congressional candidates who support our goals.
The Center for Arms Control and Non-Proliferation (CACNP), is a 501(c)3 non-profit education, research and policy analysis organization, that has its own network of nuclear and defense experts. Center produces research, reports, op-eds, factsheets and briefings to inform and enhance the policy discourse in Washington DC, across the United States, and internationally. Its mission, too, is to reduce the risk of war and halt and eventually eliminate the spread of nuclear weapons.
The work of each organization complements the other.
General Statement of Duties:
The Office Manager will work directly for the Executive Director of CACNP/CLW as an executive assistant and office manager while also having responsibility for data entry related to contributions to the organizations and endorsed candidates. In the latter capacity, s/he will work closely in cooperation with the organizations’ Controller.

In the latter capacity, s/he will work closely in cooperation with the organizations’ Controller.
Detailed Statement of Duties and Responsibilities:
- Generate correspondence, emails and reports, including donation acknowledgements
- Assume responsibility for ensuring maintenance of office equipment, copy machines and fax machines
- Maintain office supplies by checking inventory and order items
- Maintain email lists and communications with the organization’s and project’s governing and advisory board members,
- Schedule travel and accommodations for staff and board members as directed by the ED
- Schedule and coordinate meetings of the board and take minutes for same
- Assist, when directed by ED, the Program Director in coordinating, scheduling and planning briefings, dinners or like meetings for experts, Members of Congress and Congressional staffers
- Answer incoming calls and assume other receptionist duties such as working with building management on building-related requests when needed (tenant services portal, parking requests, meeting room reservations)
- Manage workflow and coordinating tasks with other coworkers daily, ensuring that deadlines are met and work is completed correctly
- Maintain grants application and reports calendar for all grants and ensure reports/applications are prepared in timely manner
- Coordinate internship selection process, if/when requested
- Process conduit checks received and work with the organizations’ compliance firm to ensure completion of appropriate information from the organization files for the firm’s processing by it of various Federal Election Commission reports
- Perform necessary data entry with respect to all checks
- Complete collection and transmission of credit-card donation information into the credit card processing company and do required exports and imports into Raisers Edge software for credit-card donations and contributions
- Manage database of contributors in cooperation with Controller
- Maintain direct mail/email lists

Qualifications required at hire:
Key Skills/ Requirements
- College or general office post-secondary education preferred
- 1-5 years’ experience in similar position
- Excellent communication skills, both written and verbal
- Financial literacy; Ability to comprehend financial activities and complete accurately related reports
- Excellent attention to detail
- Self-motivated and able to work independently
- Ability to develop relationships
- Ability to handle multiple tasks, meet deadlines, and have strong organization and record keeping skills
- Proficient computer skills. Proficiency in MS Office with expertise in Microsoft Word, PowerPoint and Excel
- Knowledge of Raiser’s Edge and related software programs or ability to quickly become proficient in using same
- Ability to analyze and revise operating practices to improve efficiency
