Basic Function and Scope of Responsibilities:

Reporting directly to the Vice President for University Advancement and the Chief of Staff, the Development Associate will use data analytics methods to develop prospect lists for specific programs, events and campaigns as well as processing donations via checks, cash, credit card, stocks and online.   This position will also be responsible for researching prospects, compiling biographical and financial information on individuals and organization entities and providing administrative support to the Vice President for University Advancement, the Chief of Staff and the Office of the President.

Principal Responsibilities:

 
  • Handle the daily mail by sorting donations to prepare for daily gift processing and depositing.  Screen incoming gift materials for biographical updates.  Maintain and file copies for record keeping.  Enter gifts onto Raiser’s Edge.  Reconcile entered gifts.  Generate batch reports.  Bring checks and paperwork to Finance for deposit.
  • Provide general administrative support, including copying, filing, answering phones, ordering supplies, distributing mail and scheduling meetings, to the Vice President for University Advancement, Chief of Staff and the Office of the President.
  • Contact Finance Office to create new general ledger accounts for new funds established in coordination with the Donor Relations & Advancement gift officers.
  • Work with Finance staff to reconcile financial information between Raiser’s Edge & Finance Office on a monthly basis.
  • Assist in providing documentation for annual audit.
  • Processes special gifts, including trustee gifts, pledges, payroll deductions, recurring gifts, wire transfers and stock gifts.
  • Process incoming NetCommunity transactions on a daily basis.  Screen incoming gift materials for biographical updates.
  • Create and maintain all donor records and supporting documentation regarding contributions on Raiser’s Edge.
  • Oversee the production and mailing of receipts for all qualifying contributions.
  • Research, compile, and synthesize biographical and financial information on individual and organization entities; analyze and interpret information to produce profiles and other background information. 
  • Create and maintain internal rating codes and prospect lists using basic data analytics techniques and statistical tools.
  • Respond to donor and staff inquiries in a timely manner.
  • Perform other duties as assigned.
Education Requirements:
Bachelor’s degree preferred.

Training, Skills, Knowledge, Experience:

Experience in fundraising data entry.

Analytical skills, including financial analysis to interpret and summarize financial information for the purposes of wealth assessment.

Excellent organizational, interpersonal and communication skills.

Experience with Microsoft Office, Word, Excel, Outlook.

Proficiency with Raiser’s Edge strongly preferred.

Working Conditions: 
Typical Office Setting.  Sitting for the majority of time on a computer station for data entry, record maintenance and opening correspondence.  Some lifting and storing of binders.

Materials & Equipment:
Computer, printer, copier, fax.
