DONOR SERVICES ASSOCIATE

Under the supervision of the Senior Database Administrator, the Donor Services Associate provides day-to-day database administration, general support to the department, as well as customer service. The Associate understands and assists in ensuring processes and projects are on track, is able to meet budget and service goals, understands the mission and objectives of Jewish Family and Children’s Services and performs all duties in compliance with agency standards.

Job Duties and Responsibilities

I.   Database Support

  1. Works with the Senior Database Administrator and the Gift and Data Processor to monitor and ensure the accuracy of gift and donor information entry.
  2. Functions as a second Data Processor (performing gift and pledge entry and automated generation of donor acknowledgments).
  3. Processes special gifts, such as those involving stock transfers and Donor Advised Fund transfers.
  4. Produces all top donor acknowledgement letters through Raiser’s Edge and mail merge.
  5. Cooperates with Development colleagues to identify and generate special donor acknowledgments as needed.
  6. Manages in-kind gifts, including entry and acknowledgements.
  7. Performs other data input into the donor database, including name and address changes, in-kind gifts, and donor and prospect demographic information.
  8. Supports the Senior Database Administrator with list production, as needed.
  9. Performs other database support tasks, as assigned.

II. Administrative Support for Development

  1. Assists in acknowledgement letter writing.
  2. Proofreads and edits donor correspondence as assigned.
  3. Fields donor phone calls and emails, and other inquiries about the processing of gifts.
  4. Fulfills tribute cards and letters.
  5. Manages VIP Tribute list and assures VIP recognition on milestone occasions.
  6. Assists with preparation of large donor-solicitation mailings, as assigned.
  7. Ensures information is archived properly including duplicating copies, filing, scanning, and distributing as appropriate.
  8. Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

  • Must be able to remain in a stationary position 50% of the time.
  • The person in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc.
  • Constantly operated a computer and other office productivity machinery, including, but not limited to, scanners, calculators, copiers, and printers.
  • May be required to lift up to 10 pounds.
  • The person in this position requires communication with departmental staff, employees, and outside customers regarding payroll and accounting issues. Must be able to exchange accurate information in these situations.
  • Exposure to low to moderate noise levels characteristic of working in an office environment.

Job Qualifications

  • BA desirable.
  • Experience with applications of MS Office.
  • Demonstrated excellent administrative, and office management skills preferred. This includes, but not limited to, word processing, mail merging, proofreading, and spreadsheet maintenance.
  • At least 1-2 years data entry experience and familiarity with sophisticated database software such as Raiser’s Edge or Salesforce.
  • Strong oral and written communication skills.
  • Superior organizational skills and precise attention to detail.
  • Tact and cooperation in dealing with other staff, donors, volunteers and the general public.
  • Ability to demonstrate excellent judgment while working independently and responsibly with general direction.
  • Ability to work effectively under pressure, given the workload fluctuations inherent in the position and department.

Compensation

This is a full time, hourly, non-exempt position with benefits. Competitive compensation will depend on experience and proficiency level.
