Advancement Services Specialist/Database Administrator 

 

Department:  Development

Reports to: Director of Institutional Advancement 

 

 
Overall Responsibility


Within the Development Office, the Advancement Services Specialist is responsible for database management, reporting, prospect management, gift recording, data integrity and data security. The Advancement Services Specialist develops and implements data and gift-entry procedures, produces reports and mailing lists, and provides database training.  This position reports to the Director of Institutional Advancement. 

 
Essential Duties and Responsibilities


  • Manage data and gift-entry processes efficiently.

. • Continuously improve the accuracy and integrity of donor records.

. • Manage the Raiser’s Edge database including data entry, output and training.

  • Document and regularly update procedures manual.

  • Advise on proper procedures ensuring accurate recording of gifts.

  • Ensure compliance with fundraising policies, goals and procedures.

  • Produce targeted mailing lists for communications, solicitations, invitations, etc.

  • Extract information from Raisers Edge database to meet reporting and research needs of frontline staff; produce donor activity reports.

  • Develop, implement, and manage the internal systems of prospect identification, cultivation, solicitation, and stewardship.

  • Maintain effective tracking systems to support their cultivation and solicitations.

  • Provide full service support for comprehensive campaign including tracking next steps, pledge commitments, solicitation strategy management and reporting.

  • Search for former staff. Investigate financial/biographical status of individuals, corporations and foundations.

  • Ensure information regarding special event sponsorships, in-kind donations, and ticket sales/registrations are recorded in constituent’s record in a timely fashion.

  • Develop and analyze donor prospect lists for cultivation and solicitation.

  • Interface with finance department and general-ledger accounting staff regarding gift entry, gift posting, gift restrictions and audit reporting.

  • Other duties as assigned. 

 

 
Qualifications


• 3 – 5 years of experience in Fundraising; database.

• Advanced computer skills with MS Office (Word, and Excel).

• Excellent skills with Raiser’s Edge, preferably at the strategic systems level.

• Excellent attention to detail and ability to meet deadlines.

• Ability to manage multiple complex tasks and/or projects simultaneously

• Highly organized, with good interpersonal, problem-solving and analytical skills.

• Ability to anticipate needs, see opportunities and use good judgment in dealing with confidential information.

• Excellent interpersonal and communications skills.

• Knowledge of fundraising principles and practice

• Bachelor’s degree

The Development Office raises important funds to support the educational programs, enrichment opportunities, and community outings for the students in our day and residential programs. The Annual Fund also provides adaptive equipment, communication devices, classroom technology, renovations and support for teachers.  Through fundraising events, grants and appeals, the office raises $2 million each year from parents, friends, corporations and foundations who believe in our mission.
