Two organizations sharing the same RE database

Years ago I worked for one of 16 affiliates for a global organization, and we used one RE database. Primary Constituent Code was a required field and if you didn't put your affiliate's code in, you then lost access to the record. There was a staffer at the national office who served as the DBA, so you called her with any problems and she could access all records via a login with Supervisor Rights.
I don't recall there being any problems with Queries, etc. It's been 8 years since I left there, and a lot has changed, but I believe Queries would only pull records I had permission to view. Same with Exports, Reports, etc. Anything that needed to be done with Supervisor Rights had to be done by the DBA at the national office.
I would recommend setting up a series of records and doing some testing. Will you be the DBA for both sides? If so, I would recommend 3 Usernames...one with Supervisor Rights, and one for each org, so you can easily see what they see. If not, and you have a counterpart, then I would meet regularly at first, and figure out a system where you can both support both orgs when needed.3 -
At an organization I worked with many years ago we had this same discussion. We decided it was easier just to add a second database to the existing RE program. They needed their own coding structure. There were also going to be issues with duplicates and we integrated with FE but the other organization had their own accounting software, Quickbooks I think.
Adding a second database was not that expensive. I believe, and again this was many years ago, it was a one time charge of $1,500 and an additonal $500 a year for maint. Another issue to think about is the number of users that need access to the database.1 -
Michael's response prompts me to ask if you've talked with BB about RE:NXT? You might see what your Account Manager can do with that, as number of Users doesn't matter. The two separate databases would probably be the way to go, as having multiple Usernames with NXT is difficult at best (because access is tied to an email address) but you can tie one email address to multiple databases. I believe it's easy to switch back-and-forth between two NXT databases (maybe have them open simultaneously?), although I don't know about Hosted RE:7, which is where you would still access much of the functionality of RE currently.0

My organization is moving to RE, back to actually, and we have a separate development office in a different state that maintains their own database and fundraising efforts. But after the conversion we will be merging the two databases into one. The BB consultant assigned to us is recommending that we use the "security by constituency" to block or give access to constituents based on an assigned constituency code that is specific to each of our offices. That way you can choose who has rights to view each other's constituents based on that code.
For gifts he said to use the "Gift security by fund" to secure viewing right to gifts. That way someone could grants rights to view the other office's constituent, based on the constituency but block access to view the gift records.
We are going with his recommendation.

This won't help with the original question much, but might help someone who was attracted to the thread by the title, as I was.
I work for a college with a fairly new foundation attached to it. Since the Foundation is still a "baby" and has no offices and payroll and so on of its own, it couldn't afford its own version of RE and the staff to run it. Our Director of Institutional Advancement is also the ED of the Foundation, and I am the keeper of "both" databases. It's really only one set of donors, after all, but now their gifts are given to the Foundation, which in turn gives them to the college.
What we did was to split the Funds and not the people. All of our Funds have 4 digit number IDs, and up till the creation of the Foundation, nothing over about 6500 had been used. The first or first two digits told us about the general category (4xxx was a grant, 31xx was a named scholarship, etc.). When we "created" the Foundation, we simply started with 8001 as our first fund number (and limited the number of funds dramatically by lumping "Named Scholarships" into one fund and noting the school's Fund ID for that specific scholarship in Reference). Thus all reports, all mailings, all queries could be based on gifts to funds with IDs of 8001 and higher. I created master queries to capture only one or the other group and they can be plugged into dashboards and reports at will.
[Side note: why don't "greater than" and "less than" work with fund number in Queries? I have to always use an actual number and say " greater [less] than or equal to". That's a real pain when you add new funds with higher numbers and you want everything "less than", but have to go back and change all the queries. Grrrrr.]
We have found this very easy to use - the Finance Department of the school only deals with funds below 7000 and the Foundation only with funds over 8000. When the Foundation makes a transfer, the funds then go to the specific school Fund ID as a "donation" from the Foundation (a regular constituent), so they can account for it in FE, and the Foundation can run its own queries to deal with all of its accounting needs in QuickBooks. We lost no history by starting a new database, and slowly the school is recording fewer and fewer things in RE - at some point the database will probably belong to the Foundation. Of course, since it's all one staff, there's no "privacy" issue - if you have access, you have access and it doesn't matter if you're wearing your college or Foundation hat at that particular moment.

I'm glad to hear you came up with an effective and simple solution for your needs! Just to quickly chime in to your side note and shed some light on a very good point... Basically, Query cannot look for "greater than" fund IDs because they are text fields, not number fields in RE. By having the added ability to give Fund IDs (and descriptions) letters, we lose the ability to recognize numbers in the fields as numbers. While it makes perfect sense to not be able to search for funds "greater than Annual" or "less than Endowment," I can definitely understand how you can be frustrated by that limitation!
Have you had experience using copy and paste into a "one of" filter in criteria? If you have a list of funds in a spreadsheet elsewhere, in order, you can capture the selection you want to search for in each case and paste it into a "one of" list - hopefully offering a solution to your need of considering a range of fund IDs!

Hi Maire and Deb - NOW I get it! I inherited the system in 2012 (my first encounter with RE) and though I've seen other systems with alphanumeric fund numbers, it never occurred to me to think about that. Also, I like Deb's idea of marking all the fund categories as Foundation or Trust, though I'd have to figure out a way to do that as a global add/change - the Trust has WAY too many fund numbers! I'm probably going to stick with the master queries of greater (less) than or equal to, since most of the activity is below the highest number of the Trust, or is captured in the "greater than" of the Foundation. It's much less frustrating when you know WHY it doesn't work!0

Just a thought, if there are too many Trust funds to deal with, just get fund category in on the Foundation. Actually a fund query of fund greater than/less than is all you need and rights to do global changes. Choose fund > Fund Category... Add > Foundation... Repeat for Trusts. Really quite simple to plug in categories if you can create the query of the funds.1 -

If you have, can you share your experience? I'm especially interested in knowing the level of difficulty to implement and use, if there are any tools like Query that have to be limited in some way, if there are other record types impacted or any other issues.0
