Prospect proposal question

Hi All, This is my first time posting in this forum, and I wasn't sure which category to choose, so I figured general discussion would be the best place to start.



The question is regarding the use of Amount Expected and Amount Funded within the Proposals.

When a gift is funded, is a normal practice to record the funded amount in the Amount funded field, AND zero out the amount expected (as it is no longer expected).?

Also, when a proposal is jointly held by more than one solicitor, and the distribution is set to, for example 50-50, it looks like both solicitors are credited for the full amount, and the count of the # of proposals, which when summed produces an erroneous total.

We are asking beacuse in the Expected proposal Summary dashboard, and in a pivot table I have built, the individual counts for solicitors seems to be accurate, but then double counted inthe totals 

Ie.,

Denise has 14 proposals including the Acme Co proposal for $20000

Shannon has 10 proposals also including rew Acme Co proposal for $20000



Right now, the open proposals show the correct amoutns for count and ammount sum, but a combined total  of 24 proposals instead of 23,  and is $20 k over the real total because it counts these twice in the grand total.

  • We do not zero out the amount expected, it tells us if we received what we were expecting to receive which also ties into tracking our goals.  



    We use a custom report for reporting on proposals so I'm not sure about the dashboard or pivot table question.
  • The amount expected should stay the same when the proposal is funded. For the reason that you stated, we do not use canned reports. We have a custom report to track active proposals.
  • The solicitor amount is not found under the proposal, but is found under the gift, so if you put that in your output in your query, the amounts "should" be correct.  If that does not work, then a custom crystal report may be better as it gives you a little more flexibility.
  • Rather than remove the ask amount we use Proposal Status of "Closed Funded", "Closed not funded".  We want to keep Ask Amount as a comparison to Amount Funded because it tells us where we are on or off target with our asks.  So if we asked for $100K and received $12K, we know our asking in general or at least for that donor are really off.
  • Congrats Ric on your first post!  We do not zero out the amount expected as we like to see if we got what we expected.  We give credit for the full amount to each solicitor.  For your Dashboard, if you are looking for totals, you may want to break it down by something else where you can only have one of like Purpose or Classification.  Then just use the breakout by Solicitor to see who has what coming in.
