Annual Donor Project Statements

Options
What report are you using to create annual donor reports to send to donors? I have been utalizing Project Financial Statements but find I need to do a lot of clean up before I an send the statement to the donor. We send the donor the beginning balance, Income Statement (contribuutions, pledges, total revenue), Transfers or awards, Net and Ending Balance.

Thank you for your help!

  • We use a SQL Server Reporting Services (SSRS) report, originally written by Blackbaud for a nominal fee (be mindful of what "nominal fee" can mean in Blackbaud's dictionary!)  Things change over time, of course.  Consequently, numerous changes have been made to the report, almost to the extent that its resemblance to the original is fading.  Those changes have all been made in-house.  Our reports (statements, actually, in our case) are issued quarterly.

Prior to the SSRS report, we generated statements via a Microsoft Access program.  That, however, required loading Access tables from the results of RE queries, FE queries, and other sources - a complicated and error-prone procedure.

  • Hi Jaime,

We send an annual statement to our monthly donors but we don't use the canned reports to do it.  We create an export with the total summary for their gifts and merge the data into a letter we send in early January.  This allows us to provide a more personalized letter.

  • We send the Annual Statement with just the Cash Gifts and a One Page Annual Report/Statement Page Explanation. We print standardized personal letters and the Donor Bill of Rights to send in this yearly mailing.
  • We utilize the Annual Statement under Financial Reports and include a cover letter with standardized language explaining what is and is not on the statement.
