Removing bank account information

Options

Has anyone had experience of removing bank account information from Relationships and gifts?  We are looking to remove all bank details currently on Raiser's Edge and if required, replace with dummy data.

We have found that these are in two locations – as a relationship under Bank/Financial Institutions and, where a Recurring Gift has been set up, on these payments.

For those not on a recurring gift, identify we would globally remove those. This can be done manually one by one, but would take a long time as there are over 5,000

In addition, when trying to delete a bank account linked to a Recurring Gift, the error 'This relationship cannot be deleted because it is present in one or more Gift records' appears.

Paul, you will not be able to remove the info for any records where it is linked to a gift.

Why would you be required to replace it with 'dummy data'?

For deleting the bank relationship info, you could try to do this via exporting info and importing but I don't know what you'd benefit.  A blank (if it would take it) bank relationship.  (If there are also valid bank relationships on the record it could mess with those. Be sure to check for that if import works.)

If it requires opening manually and deleting on 5,000 records what will you gain by doing it?  Guess I'm wondering what the purpose is in deleting them.

I think I'd check with support before doing anything like this.
  • I haven't had this issue, as we haven't put that data into RE.  However, I would suggest that you consider editing the data (via Import...create a file and then edit the data outside of RE and Import it back) to show only the last 4 digits of the card number.  This way, should you ever need to know what card was used, you have that (commonly used) piece of information.

Also, this means you should be able to clean up and remove the sensitive information from your database without having to do it manually.  Although, I believe there is a way to Import a null field.  I just don't remember what it is at the present moment.  =)

And I think this would solve your Recurring Gift error message problem.  When running Recurring Gifts through BBMS (with the EFT Module), the Card Number field shows like this after the Gift is Committed to RE: "????????????5555".

Just FYI, bank info for checking/savings is displayed on records the same as credit card info.  All but last 4 digits are 'token-ed out'.  That's another reason why I can't see the need to manually delete.  Still don't think you'll be able to delete accounts used for recurring gifts or cash gift payments made by using that account.  Bank relationships can be marked as primary and can be marked as inactive.
