Downloading a back up of donations

Is there a way to download a back of each donation so we can see what fund/funds a person wants their donation to go to? We don't want to the donation to automatically be put in a person's record, we want to manually do it.

  • You mean you want to pull the data from OLX and then manually enter in RE instead of downloading to Batch?  Seems inefficient to me, and I typically don't use Batch (for regular deposits, we don't get enough).



    If this is how you want to do it, I would download the transactions from OLX into a Batch.  Then open the Batch and pull the information from there, and instead of Committing the Batch, which is what creates the Gift Records in RE, you can delete it and manually enter.



    I strongly recommend that you consider Committing the Batch and then writing a Query (or have Batch create one for you) to find the Gifts created.  Then you can edit as needed, but avoid having to manually enter each one.
  • Thank you. What I meant to say is how do I print a physical piece of paper for each donation as back up for our files and auditors. We want to be able to see which funds the donations should be allocated to and if there are any in memory of/in honor of gifts listed.
  • Ah ha, that makes much more sense.  I print the alert email, which includes the email thank you that is sent to the donor.  Part of that email is the Transaction Details, and that piece includes the Designation, which is the Fund.  However, it shows the label you assign to the Fund in the setup for the OLX Donation Page, not the Fund ID or Fund Description.



    You could also save screenshots of the OLX window when you download the transactions...not necessarily pretty, but might work.
  • Thanks so much! We are just in the process of setting this up and learning how to use it. It isn't live yet so no donations have come through to even be able to test it, we aren't going to be doing it until after the new year.
  • There are now 2 separate posts in the Community (in the last 15 minutes) plus 2 comments (in the last 35 minutes) on a post from 3/6/2015 all about including the Fund ID on the BBMS report.  Unfortunately, BBMS doesn't yet have a section of the Community with an Idea Bank.  But you may want to go click the [I have this question] button at the top of all 3.  BB staff is usually pretty good about monitoring posts and addressing issues or suggestions.



    Since you're new to OLX, I'll clarify that BBMS is Blackbaud Merchant Services.  You'll get an email alert every time a disbursement report is available.  Disbursements happen 4 times per month, whenever there are funds to disburse.  You can run charges (and refunds) directly from the BBMS portal.  I think you have to run refunds thru the portal.



    I believe there are some dummy credit card numbers out there that you can use.  I would suggest that you get a couple of those and run several tests before you go live.  Especially if you expect to have significant volume.  Or, what we did, contact some close friends (board members?) of your org and ask them to make small donations to test how things work.  They can also give you feedback on your donation page.  We also put our new OLX page up on one page of our website, but waited to change over all the other links from our old vendor until we'd had a chance to fully test how it all works.



    Also take whatever OLX and/or BBMS classes you have access to.
