HOW TO EXTRACT ALL MEDIA FILES??

We want to download and export all media files out of Raiser's Edge from our individual constituents' records to review what files are saved and to see if any should be deleted, etc. in an effort to get more organized.  Does anyone know how to export these files into a document without doing it one by one? Is there a third party software you used? Blackbaud said it has to be done one by one, but that seems crazy.... We have over 26,000 constituents...



Any recommendations would be helpful. Thank you!

  • Because of how the data is stored in RE it isn't possible.  There isn't even away to see which Media files are linked versus embedded. You can export the Type, Title, Description, etc., but the actual Media content can't be exported and certainly not into a single document.  No system would know how to handle all the different types of files that might be stored (Word, Excel, PDF, photos, video, even other database files).

    Not being able to print or export all of the files at one time is one of the issues that I have with using the media tab as a filing system.  One thing that PaperSave, and I'm sure other programs too, does it you can use a query and get an Excel file of all of the docs or you can print them all.  This is very helpful come audit time.

    I've heard Magic Folder from Omatic Softare is great (and free) to use and can store save documents, photos, contracts, etc. instead of the Media tab. It's on my to-do list to explore.

    Magic folder is worth checking out. We use it, it is free, easy to set up and use, and works smoothly with Raiser's Edge. Once the folder is established items can be dropped and dragged to the folder without going through Raiser's Edge. From within a constituent record you can click on two buttons to open the folder within Windows Explorer.



    We chose to create the "Magic Folder" on a shared drive so other departments that have access to Raiser's Edge also can see the information in these folders. Not a bad idea if you are "linking" items to the Media Tab to do the same set up should your organization have multiple departments and do not commonly share the same drives.



    There is another fun and free Omatic app called "Raiser's Edge Table Sizes."



    We have had a policy of only linking items to the Media Tab and not embedding for the past 10 years. It blew my mind when I was able to see proportionately how much space the Media Tab consumes compared to all the other tables.
  • I've also wanted to check out Magic Folder because it is free, but there is little info on their site.  Does anyone have any whitepapers or anything from them?
