Email Confirmations for credit card donations

I recently setup BBMS and I am using batch to process credit card transactions through RE. Is there a way I can send an email confirmation once the transaction has been processed?

  • I use Mail, Receipts and created a template that emails a PDF to each person in my credit card batch.  I had to have my IT Dept. set up a static IP address for my computer in order for it to work on our network - so just keep that in mind in case you get STMP errors.  I use a query that asks for the Batch # in order to send these.  It wasn't hard to set up.

  • In addition to BBMS, we have NetCommunity. Letters are sent automatically to the donor with date and gift amount.
  • It would be really nice if an email receipt could be sent automatically when the EFT transactions are processed.

    Unfortunately, it doesn't.  This is particularly annoying when you have a donor who is making a recurring gift online through BBNC and now doesn't get an email receipt.  Personally, I don't like the e-receipts function -- we'd like more personalizing options.    



    I end up having to treat the BBMS transactions like any other gift and send a receipt/letter accordingly.
  • We use BBMS and BBNC.  We have BBNC automatically send an acknowledgement email. We send a combined acknowledgement/receipt letter that are all personalized. Then I have an eReceipt process set up in RE. It is easy to personalize the eReceipts in RE.  And you have the power to add in recurring gifts into the pdf eReceipt that is sent.  With each batch I process the eReceipts first and then process the regular receipts. I use a query by batch # to select which ones to run. Most of our recurring gifts are set up with a solicit code of 3.No Receipts-Annual only, and on the Bio2 tab we add the Consolidated receipts.  The ones that want a receipt every time would not have those settings.

    Are the eReceipts sent in addition to the NetCommunity acknowledgment letter? Or, are the eReceipts in RE sent specifically for recurring gifts? And, you are using the receipt function within the Mail page, correct?

    Everyone who uses online giving receives an acknowledgement emailed to them through NetCommunity. This ensures them that the transaction was indeed completed.  We have a statement on the email that says they will be receiving a tax deductible receipt.  The eReceipt in RE is basically a pdf duplicate of the one they would receive by mail, if they hadn't chosen the emailed receipt.

    Sorry,  I missed your other questions.



    For Recurring gifts, our default is Annual Receipts. Wording is on the acknowledgement letter informing the donor of that.  They can choose to receive receipts with each gift.  We have also chosen to send a letter at the start of each recurring gift to inform the donor of this process and their options.



    eReceipts:  I am using the mail merge to send the eReceipts.  Right now I have a mail merge set up just for eReceipts because we have to add the letter head to the receipt since we are not printing it first and then sending.  Then I have another duplicate mail merge set up for mailed receipts that we print on letterhead. So, yes I use mail merge in RE for the eReceipts.
