Entering Proposals and Contact Reports

Options
We are new to The Raiser's Edge (Go live was 2 weeks ago).  Does anyone have instructions for entering Proposals and Contact reports?  We are looking in our Participant Guides and User Guides but we are not finding much information.   Any help would be appreciated.  Thanks!

  • Are you looking for guides on the steps to enter an action/proposal, or help in configuring all the tables for the various fields?
  • I have great tips on entering in contacts making sure they get email. Feel free to call me at 610-353-5587 ext 243
  • HI Janice,

We have documented processes for how to enter Proposals and how to enter Actions (where our contact reports go). We are currently working on a documented process for overall major gift prospect tracking. Feel free to contact me if you'd like to chat!

  • I have a manual that I could share with you. Please send me an email at jody.johnson@cancer.ab.ca and I will send you a copy.

It's not perfect as we are currently working on re-doing all of our manuals, but it will be a great place to start.

Julie - I'd love to see your documented processes as well!  Would you be able to e-mail to me? katejwaskiewicz@crouse.org
  • Hi Janice,

I have some documents I can send you as well.  I'll email them over to you.

  • Go-live, exciting times.  For proposals, if you have the Prospect module you can use the Proposals there.  The codes in the tables would be what works for your staff, what do they want to track or report out on.  We like to keep it simple for frontliners to get their data in so just because there is a drop down doesn't mean we use it; if there's not the need we don't and keep it simple for data in.  For Contact Reports we use Actions, any meaningful interaction that moved the relationship forward, they choose the Notepad type Contact Report.  We have a query set up that pulls this Notepad type that Super Users review to pull information into their respective places in RE, ex a relationship.  Then they add the Action Attribute Super User reviewed.

  • Right now our Institutional Giving department uses the Prospect tab but not our annual campaign gift officers. We have procedures that are in the final stages of being finalized so I could send you that if you think it will help but it probably doesn't apply to standard gift officer proposals and contact reports.

Jennifer - would you mind e-mailing those documents to me as well?  We're looking into the same best practices here at the Crouse Health Foundation.  katejwaskiewicz@crouse.org.  Thank you!
  • No mater what you decide, just be sure that you put info into fields that are searchable. So if it's a Contact Report, make sure that is the Action/Note title or something. If you have important information in the body of the Action/Note/Proposal, you won't be able to pull it out in a query or report. So for instance if you track first-time contacts, be sure that is in one of the fields instead of in the body of the Contact Report (or in both places).
  • I actually made a custom crystal report to manage contact reports, but it sounds like you are more interested in input of data instead of output. But, if you need help with output, let me know.
  • I would appreciate it if someone would share their policies and procedures for proposals and contact reports with me.

Brenna,  We have a new VP and we are just now working on Contact reports.  Would you be willing to share you Crystal report with me?
