Deleting split without deleting gift

Options
Hello,

A large portion of our recurring gifts and payments were split this past month.  The database is in Australia, and there's a function on the Fund page to auto split gifts, which was inexplicably clicked by "someone".  Thanks for no audit by field RE, but whatever.  Now I've got about 560 gifts that are split and shouldn't be.  Does anyone know a way to delete the split, but not the gift itself?  So far customer service wants to delete affected gifts; or keep them split but change the split amount to zero for the fund that should not be on the gift.  Neither solution is great.  First because I'll lose a bunch of data entry/authorized CC gifts if we restore, second because that leaves junk data in my database.  And if I hear, "garbage in, garbage out" one more time!!!!!  Anyway, I thought I would try here and see if anyone has any ideas.  We're hosted, so my ability is limited to front end functionality, otherwise I'd shut off the audit and fix everything with a couple of SQL queries.

Thanks,

Rebekah

    Rebekah,

Not sure what limitations are due to being hosted as we're not hosted.  But do you have the option to export/import gift data?  Was wondering if you could export gift details with the split info (see: https://kb.blackbaud.com/articles/Article/48255 ).  And then import it back in the the changes made.

Yes, it's nice not to have the clutter of $0 split on a gift record, but I could live with that if I was able to get $ in fund where it belongs.  Definitely better option to me than losing data you mentioned.

Just a thought - may not be any help if hosting limits this ability.
  • I thought the same as JoAnn, but I can't check the import fields to be sure.  If you can't fix it that way, I wouldn't delete it.  You stand to lose WAY more than you stand to gain.
  • You probably want to figure out how to do this through export/import but when you open the gift record, go to the split gift tab you can adjust the amount to the correct fund and then delete the other fund.
  • I've done a lot of clean up using the "Previous Gift Split Information" plug-in paired with the "UnPost Gifts" plug-in.  The "UnPost Gifts" plug-in will allow you to change or delete gifts. The "Previous Gift Split Information" is tedious, but it does allow the changes you need.

You can use the Knowledgebase to learn more about these plug-ins, but because they can wreak a lot of havoc in your database and allow for unrecoverable losses of data, make sure your write out a plan in advance in terms of how you will use them and have a copy of your database you can revert back to.  This is work I do afterhours when the database has been backed up, no one is here to interrupt me, and I can revert back to the last back-up without losing any of the day's work should something accidentally go wrong.

However, I've been able to use these two plug ins to fix errors and change coding structures that needed to be done to improve the efficiency of our database where the reward outweighed the risk.
