Adding Deceased as New Records

Options

When we find out about deceased alumni, there is often information we didn't have in RE such as parents (that didn't make the conversion to RE) or siblings that didn't attend our school or even children/grandchildren of alumni that we didn't know about.  Our policy is to add these immediate family members that aren't in RE.  The policy extends to deceased family members not in RE.

Does anyone else add to your database people who are already deceased?  I understand the reasoning:  complete family, more information is usually better, etc., but I suspect it is information that won't ever be relevant.  Even if it is relevant once in a hundred instances, that hardly justifies the time it takes to set-up the new record and make all the relationships.  Additionally, if we scan the obituary onto the record, the information is captured for that rare need but without the time drain.

Your thoughts will be greatly appreciated.

Not something I really deal with but have added spouses name on rare occassion when gleaned from an obit.  I really think in your situation if you're scanning obit in that it's probably enough.   I definitely wouldn't want to be adding a lot of irrelevant records to RE.  Just my opinion.

We add in deceased individuals, if we are notified by family or current resident,  in order to make sure they do not receive future mailings. Only the basic info of course, no relationships etc unless noteworthy.
