Teamraiser best practice question: setting up donation campaigns

Long ago, when I was first trained in using TR, donation campaigns were set up according to the specific event venue.  For example, there would be a New York Walk donation campaign and a Los Angeles donation campaign.  Within those donation campaigns there might be a 2009 New York Walk donation form and then a 2010 New York Walk donation form.  I wondered if it would be simpler to create a 2010 Walk donation campaign, and create unique donation forms for each event.  For reasons I don't recall, I was told the former was the best practice (i.e., donation campaign for each event venue).  Is there any downside to creating TR donation campaigns by event year (for example)?

  • I think it all depends on how you want to report and track goals and achieved.

    A campaign can have a fundraising goal, thermometer and so on. Each campaign can include teamraisers, regular donation forms, and so on. (Which can have their own mini-goals and thermometers.)

    So for us, we might have a special long range NEW HOSPITAL multiyear campaign in which we must raise 600,000 by 2012. That campaign includes broadcast emails with donation forms, teamraiser events, a donation form on our main site and more.

    And we might also have a MAINTENANCE ongoing yearly campaign in which we want to raise 100,000 each year for unrestricted operating costs. So for that you might choose to go with MAINTENANCE 2010.

    We also have a few junk drawer campaigns that have onsies that we never track in concert with others as part of a bigger campaign.

    Anyone do it differently?

    Here's another thing to consider if you are using the REConnector.

    TeamRaiser registrations map using the Campaign's XRef document and the donations map using the Donation Form XRef. So if you have to map the registrations differently and the teamraisers are both active at the same time, you'll need multiple campaigns.

    It looks like the mapping issue is not limited to the REConnector but to Convio custom data syncs in general.  The Donation Form XRef will not override the Campaign XRef for TeamRaiser registrations.

    I think that is by design. That's what allows you to map the Registrations differently than the Donations. We use this all the time, as they go to different RE package codes in our system.

    Our issue is that you cannot map the self-donation that TR Registrants can give when registering. That goes on the Campaign along with the Registration. (We just contracted Convio to have that fixed in our sync.)
