Options

For those who enter offline gifts, and allow users to enter offline gifts, what the breakdown of admin entered to user entered gifts?  Do users readily adopt the "offline gift entry" option in Participant Center?  Or do you (or your staff/volunteers) end up entering the bulk of the offline gifts yourself?

  • In our case, there is a small percentage of walkers who take the time to record offline gifts, however, we end up doing the bulk of the offline entry ourselves.  It becomes a bit of a contradiction as walkers want to see their thermometers increase quickly after an event but that gets delayed because of the increase in manual data processing.

  • We do encourage participants to use the Offline Gift Entry feature. While this can be incredibly helpful when done properly, it can also be more work than just entering the gifts from scratch. I have listed some examples that come to mind that cause the Administrator to spend more time than necessary.

    • A participant has one check to cover cash donations, but doesn't let you know.
    • The participant fills in generic Bake Sale or Yard Sale information in the First Name or Last Name fields
    • Participants don't fill in address and none is listed on Check

  • We also allow and encourage our participants to take advantage of the Offline Gift Entry feature, and they are almost always the ones who enter the gifts.  It is useful and an encouragement as they see their cash donations on their personal page.  One thing we would like to see, though, is some way to display a simple breakdown between offline and online gifts for a particular event (on a custom TeamRaiser page).  So far, we can only show the sum of offline and online together for the event.

  • We turn off the ability for participants to enter offline gifts. Our financial Services guys hated that idea the second they heard about it.

    I guess they felt that correcting all the screwed up entries was harder than just entering them in the first place.

    Seems to me that anytime you can delegate data entry is good.
