Team captain change and team member email information

Hi all,

I recently had an event manager come to me with a pain point that I know all to well: What happens when a new captain takes over a team and they want to be able to email past team members through Convio?

This customer service focused staff member spent upwards of two hours pulling, importing and placing last year's team members into a group in the new team captain's participant center. There has got to be a better way!

For events with a heavy corporate presence, there is a fairly high frequency of team captain turnover. Even if the option to have team member's emails in each team member Participant Center is turned on, that doesn't help a new team captain who is brand new to the event or previously did not register online. I also don't see this addressed with the new persistent teams feature.

Have any of you found a solution to this fairly common issue?

    If you can wait just about 3 more months ...

    In the Winter release, Convio is building upon the work done on Returning (or Persistent) Teams in the Summer, and will be adding functionality to support the exact use case you described! Today, there are groups automatically created in the participant center that allow a participant to see their team members from the previous year. In that case, "team members from the previous year" refers to the members of the team that the participant was on in the previous year's event, not necessarily members of the team they are on this year who participated in the previous year's event, i.e. if they switched teams or if they are a new member of a team that has participated for several years. In the Winter release, we will be augmenting this functionality such that captains (and potentially team members, depending on your TeamRaiser's settings) will be provided with new groups that show team members of their current team who participated in the previous event. There will be two groups, one with the team's previous members who have not yet registered for this year's event and one for those that have, allowing the captain to message these segments separately. These new groups are, of course, dependent upon Returning Teams being enabled -- that is the foundation of the functionality.

    We wont have the feature summary docs available until early January.
