Entering multiple Pledge Payments from one campaign check

Options

There are many ways to enter multiple pledge payments from one campaign check in RE but I'm trying to find the most efficient way forward. I placed a pledge on numerous constituent records (150+). The check arrived and was entered on the Fund's record with the donors receiving a soft credit, however when I try to make a payment on the pledge in the donor's record, RE doesn't allow me to do so. I can either enter the payment and pay on the pledge 150+ times, or I can enter the payment, soft credit the donor, remove the pledge, but add an attribute for the Campaign so it can be queried. What is the best way to do this? Any and all suggestions are welcome.

    what does “RE doesn't allow me to do so” mean?

    When you have a cash gift trying to apply to pledge, RE by default only load pledge from the constituent that has the cash gift. If you want to pay someone else's pledge, you have to use the “load pledge from” button.

  • @Alex Wong, yes, I am doing that with the pledge payments, but because of fees that were paid to cover cc costs, the amount from the check does not equal the amount of the total pledges. I was working with one gift to see what would happen, and RE asks if I want to change the gift amount to the amount of the pledge (which I don't).

    Example: the check is for $20,000, but the pledges come to $19,689.32. Why does RE want me to change the payment to $19,689.32 instead of asking if the remainder of the payment should apply as an overage? There are 150+ pledges and I don't want to go through them all, only to have RE ask me to change the payment. I hope this example makes sense.

    @Terri Watson I'm not sure there is an efficient way. To load pledge from 150 records is not efficient. If you choose to hard-credit the individual, you might save time by having the records in a query and group adding them to a batch. You would need to confirm each payment amount and then add line for the overage. Just trying to think of options.

    If you say no to increasing the pledge amount, the overpayment will be entered as a cash gift.

  • @JoAnn Strommen, thank you. There's some matching, additional donations that we do not get information about. I'm trying to reconcile the original donation list with the final list. I imported the pledges back in April during the Challenge and now working on paying the pledges. Our community goes through this every two years (it's a wonderful delimma), but with my other RE friends, we're always trying to find the best way to get them in RE. I do not like to hard credit the donor since it goes through a third party. Appreciate your input.

    Import O Matic can help as the import profile can be setup such that “overage” is automatically created as separate a cash gift, and there is no “load from” that you have to do 100+ times. There is only need for the pledge gift import id (or pledge gift id) in a column of the excel file and the import will take care of apply to pledge.

    Though IOM does cost, not sure if there are other “free” option out there that can do the same.
