1. Job Summary:

The Donor Database Administrator is responsible for maintaining accurate gift and donor information in the database, and for helping branch, camp, program, and Association staff to use donor data effectively. This position will use, and assist in troubleshooting, mission advancement data systems, including Raiser’s Edge NXT, Online Express, Double the Donation, and JustGiving peer to peer fundraising. They will also perform custom imports from external data systems.

2. Essential Functions:

  • Maintains and administers the donor database. Sets up user accounts and user permissions, trains users in basic protocols, sets up exports and reports, imports data from external sources (i.e. Mighty Cause, spreadsheets, program/camp alumni data, etc).
  • Shares responsibility for the data integrity of the Raiser’s Edge database. Ensuring data accuracy will involve: merging duplicate records, performing global changes, running audit queries, auditing and committing gift batches, and performing data cleanup.
  • Creates and explains new reports, queries, and exports as needed for branch and Association staff.
  • Generates various mailing and calling lists for Mission Advancement and other staff.
  • Supports users with database troubleshooting and data extraction.
  • Enters data to the donor database including gifts, pledges, biographical information, event registrations, contact reports, and any other data required for financial development purposes.
  • Runs weekly and monthly database queries to confirm accuracy of gifts entered prior to posting.
  • Implements audit recommendations regarding the entering of constituent data including coding of gifts.
  • Prioritizes prompt gift acknowledgments and donor stewardship practices.
  • Produces and explains new reports and exports, providing training to staff members who access these reports/exports.
  • Updates/maintains data entry procedure guide.
  • Demonstrates strong customer service orientation with the ability to develop and maintain effective relationships with program staff and supervisors of varying skill sets and abilities.
  • Attends program Business Administrator meetings as the database expert.

    Hey Beth - we have an in person all team meeting every other month and an in person Individual Giving meeting once a month. The in person meetings are generally at our satellite office space but sometimes we meet out at one of the camps closer to the city. And periodically there may be the need to visit branch/camp locations - for instance, next month 3 of the branches will be selling Christmas trees and they use the BBMS card readers and with tablets/phones that are pre-configured. This person would manage that so there would be a need to coordinate delivery to the staff and ensure they are comfortable with logging in and using the MobilePay software.

    Otherwise day-to-day work is fully remote.
