Tracking Alumni Network Clubs in BBCRM

We are trying to determine the best practice for tracking Alumni Network Club membership and revenue from the clubs (not the club members).


Do you use Committees/Groups to track network leadership positions and add giving from the network directly to the committee or do you create organizational records for each network and add revenue to the organization?


Currently we are using committees to track membership in the clubs, but organizational constituents for revenue from the network. This is because that is how we did it in our legacy system. However, BBCRM has more functionality for these groups than our legacy system had and we are still trying to determine the best way to track this data.

    At Ohio State we made a decision early on to not put revenue on group records, so we also continue to create Org records to track the revenue and do not put it on committee records. We do link that Org record and Committee records through relationships.

    Here at UNC, we created committees for the various "Carolina Clubs" and then I built a BBIS custom handler and a page that allowed authenticated users to opt in and out of the clubs they wanted to participate in. We are also able to assign a "club Leader" role in the committee, and built another customization in BBIS that allows those club leaders to send emails to club members (without exposing the actual email list to the club leader).


    We do not track revenue from clubs, and nobody has ever really asked me to report on revenue by club from club members, though we certainly could do that since we know who is in the clubs and when they joined (we end date them when they opt out, but if they opt back in we just remove the end date)

  • A little late but UA records member in groups and the revenue on the organization record. This seems to be the standard practice.
