Importing records to LO when integrated with RE

Options
Hi folks!

Does anyone here who's integrated with RE and uses the RELO connector ever import constituent records directly into Luminate that you do NOT intend on bringing into RE? So the workflow would involve rejecting unmatched records within the RELO connector. If so, has this caused problems for you? LO support recommends against this because in cases where the unmatched and rejected records create new interactions or even transactions in the future, data could get messed up and maybe there would be duplication errors. They weren't clear on how this would actually happen, so I just wanted to see what you folks know.

  • Hi Ryan,

    I do this all the
    time.  I will get
patient lists that we want to email to. So I import them in to Luminate.  Once they come down in the
connector, if any records are matched to my records in RE, I will
    confirm them.  Otherwise
I deleted all the Unmatched ones from the connector.  Never had a problem.

  • Hi Patti,

Thanks for that - I had a feeling that LO support may be overstating the risk of data problems. I'm actually in a similar situation as you described - we are a large humane society, and for 3 years we've been importing adopter records into RE in order for them to trickle into LO. However, adopters (much like most patients at hospitals) make for very cold prospects and are just taking up space in RE, at a rate of about 3,000/year. I'm going to see if anyone else here confirms, but I'm definitely leaning toward piloting the direct-to-LO import method for a bit to see if anything actually happens.

  • Hi Ryan,

    That’s why I decided
to import directly in to LO.  RE is our primary database and
    kept up-to-date with NCOA,
DeceasedFinder, EmailFinder, Duplicate Merge and a lot of manual
    care by me.
So I don’t want cold records in my
    database.  By putting
them in LO and then they may have a possible interaction (attend
event or donate). Only then will that record be added to our
    RE.  I’ve been importing
in to LO for five years now and nothing imploded yet!  Good Luck.

  • Interesting post! Patti Posey, how do you then know when they download to RELO, whether it is a LO constituent who has now had an interaction/made a gift, vs. those that you determined you only want in LO and you wish to reject the addition?

    Thanks!

  • Jessica,

When they come in to the connector, if they are already in your database they will link or match.  I always check my match records manually since they may not be true matches.  If they aren't, I reject the LO record.  After I have cleared my Linked and Matched tabs.  I go to the gifts tab and see if any gifts are flagged and new donors and then I will only add the records that need to be added to process any new donors.  I will then reject all the other ones that aren't matched or linked and have not gift pending.
