Multiple Memberships per Constituent: Lapsed and Active

In the past, when Membership changed the names of our levels, rather than downgrading or upgrading that membership to reflect the new levels, the database person lapsed the existing membership and created a new membership for the person, thus allowing the constituent to have two memberships, one lapsed and one active.  We would like to merge these two memberships into one to avoid having active members pull when we do a lapsed pull without losing the data from the defunct membership (which shows their history with us).  Our consultant described a method of opening the lapsed membership and systematically renewing (or upgrading or downgrading) that membership with all the dates in the record until reaching the current level, and then deleting the second active membership so that only one exists in the record.  Has anyone had experience with this process, would like to find out the exact steps before trying in our system?

  • It sounds like your consultant has outlined things pretty well except for linking the new Membership Transaction records to the related Gifts.
  • Manually "rebuilding" the membership history is unfortunately the best way to go. You can only ever edit the most recent membership transaction, so it can be quite cumbersome. Your only other option would me to do an import, which is very tricky and can go wrong very easily if you don't have experience doing them.

    I'm new to the world of RE, would you be able to outline the specific steps needed to rebuild a membership history?


     
  • What I do goes a little something like this:
    • Look the the different membership histories and decide which one should be kept, usually the oldest one
    • Then, in the transaction detail section (the lower half of the window on the Membership tab) open each transaction you want to rebuild, and write down or type in a notepad the transaction type, dates, level, dues, etc. for anything you want to bring over into the kept history
      • Repeat if you need to insert into the middle of the history you're trying to keep for any transactions more recent than the oldest one you're bringing over
    • Click the renew/upgrade/rejoin, etc. buttons as needed on the history you're keeping and type in all the information you wrote down one at a time
    • Weep for how many times you have to repeat this process
    Hope that makes sense! In general the idea is you're undoing and redoing all of the membership transactions in the right order in the right membership history "track".
