Primary Business Phones, Emails and Links. Oh my!

Greetings, we just upgraded from 7.93 to 7.96.  Has anyone either moved or copied the phone numbers and emails from the primary business relationship to the Bio 1 tab?  Does anyone keep/enter the phone number and emails in both places (Bio 1 and primary business)?  I received a request to have them in both places, which I think comes from wanting to see them all in one place (i.e. Bio 1 tab) so I'm wondering what others are doing.

  • That's a fun project right there! I did almost all the clean up before we upgraded, which made it easier. At this point, if you migrate all phones to Bio 1, you'll have to be careful, since phone numbers on the Organization records are shared onto the Buseiness Relationship record, cluttering up the person-specific phone numbers that exist on the relationship record.


    To answer your basic question though, we have all phone numbers stored on Bio 1, NOT the relationship. That said though, the primary reason we went this route was because we're integrated with Education Edge, and phones stored there don't integrate properly after the upgrade. The other benefit from housing all phones on Bio 1 is that you'll have a much easier time exporting/including phone numbers in reports. You don't want to always have to look in both places.

    We have all contact info on the Bio1 tab as well. It may be that you'll want to make a new phone type or two to make it clear what's what, but it is genuinely easier to see everything in one spot.
  • We moved them all to phones. It would be too easy to forget this information in exports and reports if it only lived on the primary business address. We chose not to remove it from primary business (yet) so it does technically live in both places currently but the "official" place for it now is Bio 1 phones. We will only be maintaining and updating the information there (as it is the only place we will also export and report from, as well.)
  • Thanks everyone!  Here's another idea that came up during a conversation with coworkers on this: would it help if the phones and emails from the Primary Business relationship showed on the Bio 1 tab, along with the Source column?  Similar to how phones/emails show when viewing a relationship record where it shows phones/emails from both the org and ind record, along with the Source.  It would help to see everything in one place.  If this did exist would you still move phone/emails from the primary business to Bio 1 so it's easier to query and export?  I'm also wondering if this would be a good idea to post in the idea bank.

    Hi Josh, I can see where they are comming from but I don't think it's a good idea.


    If you are creating constituents for the organizations then the contact details for the org record should be the generic switchboard or the specific contact person for that Org. You could have many people who work for the same org so updating thier Bio1 tab with these contact details could cause many issues.


    We have on the Bio1 of an indiviual a email and phone type for Business, this way if a person gives you their direct business number you can have it on the Bio1, but you would not want to have it on the org record as that would then make them the contact for the whole business when all they are is an employee.
