Tracking streams of money

I'm a complete newbie so please forgive me.


I am looking at a very blank eTapestry database with few bells and whistles and no data to import/migrate.  Our organization has never done any fundraising and I'm building from the ground up. I have added all our Board members and will be populating data moving backward in batches.


We are a public library and have several types of gifts.
  1. On the Public side, we get donations to use on programming or to purchase specific types of books.  This money is deposited on the library side but it would be wonderful to be about to add these donors to the foundation side (my side) as prospects and also to track these gifts and purchases made with them.  
  2. One the Foundation side, we haven't gotten many donations (no fundraising) so I am adding them in going backwards - this part is pretty straight forward and follows most of the training from BB.
  3. Lastly, the Foundation does essentially mini-grants back to the library.  We have been tracking these in Quickbooks but I would love to set up a means of tracking the grant and the expenses in eTap.  Is this possible?

    To track these alternate revenue/expense streams, you'll need to use eTapestry in a custom way.


    To track public side gifts, you could either (1) add them as transactions to a unique "Public Library" Fund, or (2) create custom user-defined fields to track these gifts on the Contact JE. Since you aren't actually depositing them, I might lean toward option 2, since then they won't impact your use of the Goal Dashboard and general Foundaion donor analysis reporting. Option 1 is a little more straightforward to setup, but while you'll still be able to report on only Foundation donors vs. Public donors, it will be just a little more complex to generate donation analytics for the Foundation alone.


    For your Foundation grants, I'd also take a look at tracking these on the Contact JE using user-defined fields for amount granted, etc. You'd need an account for the public library entity and you'd add these contacts in that account's journal. You might also take a look at using the "Disbursement" transaction for this purpose if you want to see donation totals for sum raised minus expended.


    If you decide to explore customizing Contact JEs to track these money flows, start by setting up new "Method" values for Grant Award and Public Libary Gift.

    We use campaigns and approach for these kind of issues.  So for Example you would have the campaign of Public Library and then an approach of the specific kinds of donations like books, general donation, reading program, etc.  Then you would have a campaign of Foundation Donations and create the specific kinds of donations as an approach.  As for tracking expenses in ETap.  I don know of anyway other than entering a journal entry under a separate campaign called Grant Expense because the gift fields will not allow -10.00
