linking gifts to proposals: who handles this at your shop?

I know there was a thread last year about linking gifts to proposals, but I'm wondering if anyone can tell me how things work in their shop.  Our major gift officers don't have security rights to do this. We could grant those rights, but I'm wondering how other shops handle this?  Do gift officers do this?  Someone else?  No one?   The rights seem to allow editing of gifts.  Pitfalls?  Horror stories?  It's all hunky dory?  Any  feeback appreciated.  Thank you.

    Our gift processor does it as part of the batch process.

  • We don't allow our giving officers to do any linking.  Though they wouldn't be malicious, it would be too easy for them to link their proposal to the wrong gift or even make changes to the original gift if they went a little click crazy laugh


    I have a dashboard/query set up to show me all the outstanding proposals with a status of FUNDED (our gift officers do that) that are not yet linked to a gift.  I check the Dashboard each morning and any newly funded proposals to the appropriate gift(s), making sure everything else with the proposal lines up just fine.  More than once I've had to have explain to a gift officer that they can't count both the pledge AND the payments as separate proposals...

    Our gift processor does this. Typically when we know a major gift is coming in (or grant or what have you) that should be linked to a proposal, the gift officer (or grant writer) puts in a pledge on that record. The existance of that pledge prompts the gift entry person to check for proposals to link to.


    This does involve allowing your gift officers to create gifts, of course. I have no problem with that. I'm not a big fan of restricting rights when I could just train my staff to do things correctly to begin with. 

  • Our data entry person links gifts to proposals.  


    With each major gift that arrives we require the gift officer to complete a gift verification form that provides more detail about the gift that we track.  This form includes a space for the gift officer to identify if the gift is linked to a proposal and which one.  This form has provided useful documentation as these are the gifts that typically get audited.  
  • I like the idea of setting up a dashboard!  That could work well to alert us to gifts that need to be linked but we'll need to figure out who will do it.   It sounds like gift processors do this most orgs.  We've got lots to think about here. Thank you to all who replied.
