Export Constituent Giving with Summary in Total AND by Fund

Hi, I'm trying to find a way to export two years of constituent giving that totals in two ways - by fund and in totality. Is there a way to do that? So there would be a column for summary of giving for those two years and also one that breaks out those totals by fund.

I could do it in excel once I export the info, but I wonder if it could also be done within RE.

    You could do this pretty easily via Export. You can add multiple summary total gift amount fields and define each of the separately. Some folks don't realize that you can add multiple distinct summary fields in export because when you double click on the summary field you want for a 2nd time, it just nests itself underneath the first and keeps the first's criteria, but if you click on something in your export set that isn't summary (let's say you also output constituent ID - click on the Constituent ID field and THEN click on summary total gift amount again), you can define as many separate summary sets as you want. 


    Did that make sense? I'll write out a process for you if you like.

    I do this as part of our standard output. I did a Summary for each college AND one for their last gift. As Ryan said, you have to add the summary field and it's criteria more than once. You must go back up to the very top of "tree", highlight the item at the top, the name of the Export, and then go to the output fields on the left and add the summary field again. You must do this for each different summary field you want to add. Here's what it will end up looking like:

  • Gosh - that sems far more complex than I think it needs to be - couldn't you just tie a gift query to a pivot report and summarize on fund and include a total?

    Just a comment/clarification,

    To add the field multiple times you can go to the top of your output list as described or you can just go to the category heading and click/highlight that in right pane before selecting field again in left pain. In example cited it woud be "summary information." Only going to the group where you are adding fields can be a little more convenient that to the top evey time if you have a large output.
  • Melissa - that does indeed seem like a reasonable solution! I've never tried that though, so I don't know if there are any pitfalls to look out for. Conceptually it seems like it should work. Nice :)

    I've not tried it that way because we have many donors who like to split their gifts between multiple funds and the summary field in query wasn't summing the amount given based Fund, it was summing based on the date range. Export gave me the correct amount based on fund.  Let us know if the pivot table works!

  • omg, okay, so I know I come off as a know-it-all on here (sorry not sorry), but "fund split amount" (and also "appeal split amount") is something I had never stumbled across before! Holy crap, thank you Melissa!!! This makes split gifts seem suddenly useful to me for the first time ever!

    Just a note, since this is new for you...you can use any of the 3 Split Gift Amounts (Cpgn, Fund, Appeal) and get the same Amount, no matter which of the 3 is actually split.  So, a donor gives $425 split between 2 Campaigns, 3 Funds, and 1 Appeal, you'll get 3 lines of $250, $100, and $75 no matter which Split Gift Amount field you use.  Very handy.  And if the gift isn't split at all, all three Split Gift Amounts will give you the full amount of the Gift.
