Education records - Known name field

Has anyone used the "Known Name" field on Education records to track information other than what the constituent was known by while attending your school.  We have never used this field and I would like to start using it to capture "College."  Our University recently moved to a new 4 college structure and I need a place to put College on alumni records. (I am using all the other fields for other degree information already.)  I planned to use "College" as the display name but I noticed that this Known Name field links back to the alias table.  Would like to know if anyone has used this field successfuly to track non-alias information.

    Huh, neat, I didn't even realize Known Name showed up in the Alias Table. We haven't used Known Name for anything other than its intended purpose.  In your case could you simply create an education Attribute instead?


    We capture what "school" (Business, Education, Nursing, etc) by the major type.  So we each major has the school "code" in front of it.  LIke this:


    [B] Business Administration

    [E] Secondary Ed

    [N] Nursing


    etc.  This is important because sometimes we have students who receive TWO majors from TWO different schools.  So we code both as different majors, then we can pull them as needed in queries.

  • Thank you, Tom!  In Configuration > Business Rules is where you can uncheck the box to automatically add Known Name to the list of aliases.  If I repurpose Known Name for "College" I will uncheck that box.  Thank you for sharing your system with the majors!  I am considering using an education attribute for College but I like that Known Name appears right on the front of the record when a user is looking at the education. 
  • We repurposed the Known Name field 3 years ago in pretty much the same way as you're proposing - we relabelled it "school" and made it a lookup field. I didn't even make the connection between that field and the Known Name alias type until you mentioned it here! Works fine for us, it doesn't stop us using aliases to track any previous names that constituents have been known by.
  • Thank you, Alan.  Glad to hear it worked for you.  I didn't realize that Known Name (from the Education records)  was showing up as an alias until I found it by chance.  My plan is to only use that alias type to capture our College data.  We will use other alias types (e.g. Alternate name, Former name) to capture name data.

     Do you already use Campus or School Type?  Because if not, I could see putting your four college structure in there.
