Contact Preference

Is there a way to record in RE7 a donor’s communication preferences? For example, some board members prefer to be emailed, whereas others prefer a phone call. How do you suggest we code this info?

  • We use a constituent attribute to code this information
  • Or a Solicit Code.  Or, if it's specifically your Board, an Annotation might work.  Or even a Phone Type of Other and then either the phone number or email address (duplicated from where it actually belongs).  Then you pull a list of that Phone Type and get a list of names and either phone number or email address...and possibly a Comment related.

I recommend picking a system, setting it up for a set of dummy records or maybe for your board, and testing it in whatever ways you will need to be able to use this data.  If that system doesn't work, clear it out and try another.  =)
  • Wondering if you have to make sure to be very clear on definitions here - contact preferences for what?
    • For instance, a constituent may want to get their appeals in one way, newsletters in another way, annual report in another way, etc.
    • If this contact preference is specific then you may want to name it accordingly - like Appeal Contact Preference.
    • And you may end up needing additional codes for other needs - like Newsletter Contact Preference, Annual Report Contact Preference.
And once you go down this road, you've now opened up requiring multiple channels for these things.
    • So staff need to understand how this will all work, how the coding is structured, and why some constituents are 'missing' from lists.
    • And this may make recording actions more involved.
      • For instance, typically we can easily add an appeal code on constituent records from an annual appeal mailing list.
      • How are you going to record this for constituents that you contact by phone or other methods?
