Online Express: how can we limit user rights on Online Express

I would like to know how we can limit rights for users of Online Express. For example, I would like the Finance team to be able to access the online express commit section in order to check whether the online gift records match up with our existing recortds but do not want to give them access to the email or events section nor do I want them to be able to edit the donation forms. How can I do this?

  • I don't believe this is possible. I wanted to do something similar - allow access for our marketing team to create emails - but not allow access to transactions.


    I really thought I had suggested this as an idea - but can't find it now.

    Hi Jutta and Jennifer,

    I think I might have some options that will help you both. If you look under your Account Menu in Online Express > then Integration Options > to Transaction Assignment. You can cherrpy pick some of the groups that have access to process transactions. It won't enable the donation/email/events section but it does give you some flexibility in your assignments. Not the exact fix you are looking for but I hope this helps!

    I was able to set up different groups to access OLX, but, as Jutta mentioned, we'd like to lock down the access within OLX.

    Generally, the same people don't need to access transactions and email marketing (we happen to have overlap with events / transactions in our office,  but I wouldn't be surprised if other organizations didn't want the same people accessing that information either).

    We see it as a big security concern since only certain staff are able to view financial information. I can keep our marketing folks from viewing constituent records (and the information contained within them), but cannot limit what they see in OLX, if I don't process transactions first.

    Jennifer and Jutta, Thanks for the extra detail. These are things we are taking into consideration as we continue to develop or next generation of products. We really appreciate the feedback!

  • Is there any update on being able on this topic in allowing granular or limited access within Online Express?  It is confusing that this seems to be the only area where we cannot define down access so that we do not have dozen of hands in the bucket and have to work through the issues and lack of security this causes.  
  • Hi Corrine Duncan‍. There are no plans to change the current security model in Online Express. The next gen capabilities that are beginning to replace Online Express in RE NXT are coming online. Email is now generally available. Donation and Event Registration forms are being rolled out in waves. And each of those capabilities is independently securable. We definitely appreciate the need for the right level of granularity in applying user permissions and hopefully the all new user security model in RE NXT delivers the granularity you'll need.
