Processing Event Credit Cards

Setting up NetCommunity and am wondering best practices for entering credit cards (for event registrations) that are called in to the office.  Blackbaud recommends gift batch entry linking to event in RE.  The steps involved to process in this fashion seem labor intensive.  What do other institutions do?

  • When we used Net Community for events, we "pretended" we were the registrant and registered them online for our events. The registration would then come through online and we would batch it that way.  Saved time and the registrant would be sent the receipt and confirmation.  Upon batching, we would link it to the event, and would be good to go.

    We direct the user to our website to register for the event.  If they incist on registering over the phone, we fill out the page ourselves with their information.  This puts the registration through the regular workflow we have established for processing NetCommunity gifts.

    More often than not, I fill out the online registration form for the individual. However, I have been known to input the registration through batch and process the payment that way and just link it to a registration. When we take Homecoming registrations over the phone, for instance, some of my coworkers find it easier just to fill out the paper registration form while on the phone and then they send the forms to me to input via batch all at once. The downside to this, for me, is not having that verificaiton that the payment went through while having the individual on the phone. If it doesn't go through you can always immediately check the numbers with the individual (maybe they didn't use the correct billing zip code, for instance).
