Moving to Hosted - What Tests Should I Run?
Options
We're in the process of moving over to being hosted and so are in the testing phase. So I was wondering if anyone that had done this had any useful advice about what tests to run, areas to pay attention to, places where things commonly go awry etc.
I'm working through the list that BB emailed me and the knowledgebase article How to test The Raiser's Edge in Blackbaud Application Hosting and I thought to check things like the media files had copied across OK. But the list of things to ceck seems a bit lightweight. I'm not sure how comfortable I am making such a big leap with so little testing.
Does anyone have any ideas?

First a question: are you moving to Hosting in preparation for NXT? If so, Hosting was a much bigger learning curve and headache than NXT. Probably because I wasn't expecting it to be that way. And with NXT, if you can't do it there (yet), you can just switch back to RE:7 (now Hosted).
I didn't actually have time to do much testing...by the time we made the decision and all the pieces fell into place, we had to just jump in because we were in the EAP (Early Adopter Program) for NXT. I do know that I had to keep reminding myself not to do any data changes in the test version...which was hard as my coworkers kept requesting things!
One of the biggest things I had to get used to was Exporting and Importing. Hosted RE can't access your org's network (for security reasons), so there is a File Manager piece, which I tried out and then have ignored completely. I ended up creating a Blackbaud folder on my Desktop and that's where I Export to and Import from. It's a bit of clicking to get to that folder from within RE, but RE usually remembers what folder to default to. Then I have a shortcut that lives in that folder to a folder on our network, so I can just drag-and-drop the files to and from the network locations where they belong. It's an extra step I didn't have, but not too bad. I would recommend checking that out now, while you've got a little time, rather than when you get to a crunch and don't have time to go playing with it and figuring it out because you've got something that has to be done asap...if you can't tell, that was my experience.
There will be a lot of things to adjust in your processes, but most of them really are little and not a big deal. And not really anything to test for. I also recommend having your IT team keep a good copy of your database at the time you actually make the switch. You can then get back to how it is on Day 1 if you need to reference something or check on something... I just changed everyone's passwords in that version to something else, so they couldn't accidentally access and work in the wrong version, and I changed my own password so I would realize/confirm which version I was in. Over time, we removed the desktop links for everyone to that version, and I never really did have to reference it.
Good luck! And definitely post again with any specific questions (or message me directly and I'll help if I can).1 -
I understand your fear with the testing side of the transition. We went through the same thing last year when we moved to NXT. Blackbaud's support through the transition is fantastic so you almost have to 'let go' and rely on them to get you there. If you want to discuss this further, we are happy to do so.1

I've been a 3 different organizations where we went to being hosted by Blackbaud and the process always went smoothly and I can't really think of anything that I had to do to get ready for it. I agree that it's just a matter of adjusting to things being a little different, but none of it is difficult to figure out.2

Thanks everyone for your answers so far (and particularly Jen).
We are moving to Hosting in prep for NXT, but I figure NXT is just a bonus on what we already have organisationally so I'm not really too concerned about that. I'm mainly worried about things not getting copied across, or data being lost or dropped or that kind of thing. I suppose in some wyas there's no reason to fear that, but in other ways...
Good to know it went relatively smoothlly for people, though getting used to filing thing sounds like it will be a challenge.

You're right...NXT is a bonus on top of what you have (unless your NXT bundle gets you additional modules and features you don't already have).
If you can, hold off on adding any more Media to your database. It's so much easier in NXT (drag-and-drop) and there are plans for Attachments Tiles on additional types of records (currently only Constituent and Action, I think). Also, being Hosted, you must Embed Media files, not Link them. (In NXT Attachments, you can Link to a Dropbox or cloud-based storage location, but not to a folder on your org's network.)
There are improvements still to be made, but I'm just working with a filing system in a network folder for now, and once they release the Attachments Tile on the Gift Record, I'll be ready to start uploading. A plus for my system is that currently, if you have to restore your database (which is rare, but still...), you will lose settings in addition to any Attachments entered via NXT. So I'm planning to forever keep my files in a back up system (I have a file naming convention that includes ConstID+year+month+GiftID so I can find files relatively easily). And hopefully BB will be able to address that heart-attack-waiting-to-happen soon.
The other thing I did was hide the Media Tab in RE:7 from all Users...they can now only see Attachments in NXT. This is because what you Attach in NXT is not backwards-compatible and will never appear in 7 (it can't). However, any Media that is embedded (not linked) in 7 will appear in NXT within about 2 hours. There are threads about this in the Community and in the NXT Idea Bank, if you want to read more. (And if you're interested, I'm happy to set up a screen-share and show you my system and how NXT Attachments work.)
To prepare for NXT, I would read Community Posts, the NXT Blog, and skim through the NXT Idea Bank (not nearly as daunting as the RE:7 Idea Bank). It'll give you a good feel for what functionality and fields are there now and how they're working.

If you want to access your network drives from a hosted instance, simply call up support and let them know. From what I understand they made this feature available about 6 months ago, but they chose not to advertise it to anyone. I made that request about two months ago and within a couple of days I could access all of my locally mapped network drives from Hosted Raiser's Edge. Occassional my drives don't correctly display in RE, but when that happens I simply log out of RE, log back in, and my drives are there again. Happens maybe once a month.4 -
PRINTING!! Test your printing! And not just one report, test a sample of lots of different kinds of common reports!
We had problems where the printer driver with being hosted wasn't compatible with our local printer driver, despite the versions being correct etc. It was the only thing that we found was an issue with switching over. Some reports would print fine, others would only print one page and others would print in teeny tiny font despite the settings we chose!
We ended up having to disable settings for it to work properly and therefore create two different profiles on the printer. Good luck! Overall it was a very smooth process! We love NXT and were super glad we were part of the EAP.
